Job Description:

Position Overview: The Event Production Executive plays a pivotal role in planning, organizing, and executing events of various scales. They are responsible for ensuring that all technical and logistical aspects of an event are seamlessly coordinated to deliver a memorable and successful experience. This position involves close collaboration with vendors and internal teams to achieve event objectives.

Key Responsibilities:

Pre-Event Planning:

·        Collaborate with internal teams to understand the event requirements and objectives.

·        Develop detailed event production plans, including timelines, budgets, and technical specifications.

·        Coordinate and secure necessary permits, licenses, and insurance.

Vendor Management:

·        Identify and liaise with event vendors, including audio-visual, catering, decor, and transportation services.

·        Negotiate contracts and manage vendor relationships.

·        Oversee the setup and operation of equipment and services.

Logistics and Operations:

·        Ensure the smooth execution of all logistical aspects, including load-in/load-out, transportation, and on-site coordination.

·        Manage event staff, including technicians, crew, and volunteers.

·        Troubleshoot technical and logistical issues in real-time.

Budget Control:

·        Develop and manage event budgets, tracking expenses and ensuring cost-effective solutions.

·        Provide cost estimates and financial reports to clients.

Technical Expertise:

·        Oversee all technical aspects of events, including sound, lighting, projection, and stage setup.

·        Troubleshoot and resolve technical issues to ensure optimal event performance.

Safety and Compliance:

·        Ensure that all event activities comply with safety regulations and industry standards.

·        Develop emergency response plans and protocols.

Post-Event Evaluation:

·        Conduct post-event evaluations to assess the event's success and identify improvement areas.

·        Generate post-event reports for clients and stakeholders.

Qualifications:

·        Bachelor's degree in Event Management, Hospitality, or a related field (preferred).

·        Proven experience (3-7 years) in event production or management.

·        Strong project management skills.

·        Excellent communication, negotiation, and interpersonal abilities.

·        Technical expertise in audio-visual equipment and event technology.

·        Proficiency in event management software and tools.

·        Budgeting and financial management skills.

·        Ability to work under pressure and meet tight deadlines.

·        Knowledge of safety regulations and emergency response protocols.


·        Key Skills : Pre-Event Planning, Logistics and Operations, Vendor Management, Bachelor's degree in Event Management, Hospitality, or a related field (preferred).
