Role & responsibilities

Administrative Support

  • Manage and maintain the Director's calendar, including scheduling meetings, appointments, and travel.
  • Screen and prioritize emails, phone calls, and other communication/s.
  • Prepare agendas, presentations, reports, and minutes of meeting as required.
  • Coordinate logistics for internal and external meetings, events, and speaking engagements.

Communication & Correspondence

  • Draft, edit, and proof read official correspondence, e-mails reports, and documents.
  • Act as the primary point of contact between the Director and internal/external stakeholders.
  • Maintain confidentiality and handle sensitive information with discretion.

Coordination

  • Assist with the planning and execution of Tasks or initiatives led by the Director.
  • Monitor and Follow ups with HOD's for pending issues.

Operational Support

  • Maintain effective filing systems (digital and physical) for easy document retrieval.
  • Process expenses, invoices, and reimbursements in a timely manner.
  • Liaise with internal departments to support operational efficiency.
  • Excellent English verbal and written communication abilities.

Preferred candidate profile

  • Exceptional organizational and time management skills.
  • Excellent English verbal and written communication abilities.
  • High level of professionalism and discretion.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with tools like Zoom is a plus.
  • Ability to manage multiple priorities and adapt quickly to changing demands.
