Job Description

Industry: Shipping, Trading, and Lighterage (Agents for Italian Shipping Line)

Working Hours:
- Monday to Friday
- 8:30 AM to 5:30 PM
- 1-hour lunch break from 1:00 PM to 2:00 PM
Our client company, engaged in shipping, clearing, and forwarding, is seeking a professional and dedicated female Receptionist to join our team. The ideal candidate will be responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, and sorting and distributing mail. Emirati Nationals only are eligible for this position.
Responsibilities & Duties:
- Operate telephone switchboard to answer, screen, and forward calls, providing information, taking messages, and scheduling appointments.
- Greet visitors, determine the nature and purpose of their visit, and direct or escort them to specific departments.
- Transmit information or documents to customers using computers, mail, or e-fax.
- Provide information about the establishment such as the location of departments or offices, employees within the organization, or services provided.
- Ensure knowledge of staff members' whereabouts and availability.
- Collect, sort, distribute, and prepare mail, messages, and courier deliveries.
- Maintain the telephone master and fax outward filing system.
- Assist managers and other staff as requested, provide administrative services, and perform other related duties as required.
- Screen telephone and personal business callers, including international callers, and manage telephone bill settlement records.

- Bachelor’s degree attested by UAE Ministry.
- Certification/Diploma in front office desk related activities.
- 3 to 5 years of experience working as a Receptionist.
Technical Knowledge, Skills & Abilities:
- Excellent command of English communication (oral and written).
- Proficient computer skills.
- Strong critical thinking and decision-making skills.
- Ability to prioritize tasks effectively.
- Mental fitness and good vision.
- Ability to work in an office environment and use equipment such as computers, printers, and fax machines.
