Job Title: Remote Contracts Administrator Job location: India, Remote Work hours: Pacific Standard Time Zone Job Summary: We are seeking a highly organized and detail-oriented Contracts Administrator to oversee and manage subcontractor agreements, including contract tracking, abstracting, and documentation. The Contracts Administrator will collaborate with project managers, subcontractors, and outside legal counsel to ensure contracts are executed accurately, compliant with legal and company standards, and aligned with project requirements. This role is critical to maintaining the integrity of our contractual relationships and mitigating risks. The Contracts Administrator should have knowledge of AIA contract documents. Key Responsibilities Contract Management and Tracking Maintain a comprehensive database of all subcontractor contracts, ensuring all relevant details (terms, deadlines, deliverables) are up-to-date. Track contract milestones, renewals, and compliance requirements to ensure timely action. Contract Abstracting Create clear and concise contract abstracts summarizing key terms, obligations, and potential risks. Distribute abstracts to internal stakeholders to support informed decision-making. Contract Preparation and Execution Draft and prepare subcontractor contracts using company templates with guidance from outside counsel. Ensure all contracts include the necessary terms, conditions, and amendments to reflect project-specific needs. Legal Compliance and Review Collaborate with outside counsel to review contracts for legal compliance and risk mitigation. Address contract discrepancies or issues in coordination with legal advisors and project teams. Documentation and Recordkeeping Maintain organized and secure records of all contracts, amendments, and related correspondence. Ensure documentation is readily accessible for audits, compliance checks, and project reviews. Collaboration and Communication Serve as the central point of contact for contract-related inquiries from internal teams and subcontractors. Work closely with project managers to align contracts with project scopes and deliverables. Qualifications Required: Bachelor’s degree in business administration, law, or a related field. 3–5 years of experience in contract administration, construction project management, or a similar role. Strong understanding of subcontractor agreements, construction contracts, and compliance requirements. Proficiency in contract management software and Microsoft Office Suite. Excellent organizational, analytical, and communication skills. Preferred: Experience working with outside legal counsel. Familiarity with construction industry standards, regulations, and practices. Certification in contract management (e.G., Certified Professional Contracts Manager - CPCM). Key Competencies Attention to Detail: Ensures all contracts are accurate, complete, and compliant. Time Management: Manages multiple contracts and deadlines efficiently. Legal and Regulatory Awareness: Understands contractual obligations and industry regulations. Collaboration: Works effectively with legal counsel, subcontractors, and internal teams.
