Personal Assistant to Managing Director

The Personal Assistant (PA) to the Managing Director (MD) provides high-level administrative support, ensuring the smooth operation of the MD's office. This role involves managing schedules, communication, and administrative tasks, allowing the MD to focus on strategic initiatives and business growth.

Key Responsibilities:
  • Diary and Schedule Management:
  • Organize and maintain the MD’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Ensure the MD is informed of upcoming commitments and responsibilities, including logistics and preparatory materials.
  • Communication Management:
  • Act as the primary point of contact between the MD and internal/external stakeholders.
  • Screen and prioritize incoming correspondence (emails, phone calls, etc.), handling or redirecting as appropriate.
  • Draft, review, and send communications on behalf of the MD.
  • Meeting Coordination:
  • Arrange and coordinate meetings, including preparation of agendas, documentation, and minutes.
  • Ensure meeting spaces are prepared and equipped for all engagements.
  • Confidentiality and Discretion:
  • Handle sensitive information with utmost confidentiality and discretion.
  • Maintain professionalism in all interactions and communications.
  • Relationship Management:
  • Build and maintain relationships with key internal and external stakeholders.
  • Represent the MD in interactions with staff, clients, and partners.
  • Personal Assistance:
  • Provide personal support to the MD, including managing personal appointments and commitments when necessary.
  • Handle ad-hoc personal tasks and errands to support the MD’s work-life balance.
  • Continuous Improvement:
  • Identify opportunities for improving administrative processes and implement efficient practices.
  • Stay updated with new office management techniques and software.
