Role Description
The Executive Assistant (EA) is critical in effectively helping the Managing Director by organizing and prioritizing his schedule. The EA will keep minutes of important meetings, keep track of deliverables, and surface follow-up points for the MD with additional data, insightful reports, and analysis.
Roles & Responsibilities:
· The EA will also respond to routine emails on the MD’s behalf and assist in other routine operations to free up time for the MD for strategic work. The EA must be a multitasker, diligent, critical thinker, committed to the outcomes, and willing to stretch beyond the JD and official work hours.
· Create, prioritize, and modify documents, making the office more efficient, using Excel, spreadsheets, and Datasheets. Create reports and prepare requisite materials.
· Maintain strict confidentiality with sensitive information, financial documents, records, and personal matters.
· Prepare relevant documentation and assemble collateral material and high-level communications for the Managing Director to review and present.
· Track and document all correspondence, events, projects, and pricing updates within strict timelines.
· Create requisite dashboards and flash them every week.

· Highlight and track critical parameters or deviations in normal business functioning - across functions.
· Collaborate closely with the staff to complete various Organization projects and conferences.
Partner with functional heads in deriving strategy formulations and project management, outlining progress on ongoing projects.
Participate in board meetings and coordinate agendas and outcomes as specific, actionable items such as meeting Minutes. Follow up with respective functions/departments and drive to closure.
Provide regular feedback on the business's performance and its achievement of the agreed-upon AOP (Annual Operating Plan) and other plans.
Provide the executive summary to MD for critical literatures, project reports and Industry journals.
Qualifications
MBA degree in Business Administration, Management, or a related field
Experience:
2- 5 years of experience as Executive Secretary to Chairman/ CEO/ Managing Director/ Vice President.
Should have experience in Short-hand Skill
Good Tamil and English language skills are required. Knowledge of other languages and international customs is an asset.
