We are seeking dedicatedindividuals to join as Executive Assistant to the director in thecompany dealing in the Finance sector. The successful candidateswill encompass comprehensive administrative support includingcalendar management communication facilitation documentation upkeepmeeting coordination travel arrangements expense management projectassistance and efficient time prioritization ensuring seamlessoperation and productivity for thedirector.

JobResponsibilities

1) CalendarManagement:

  • Maintain and organize thedirectors schedule coordinating meetings appointments and travelarrangements.
  • Anticipate and prepare materialsfor meetings ensuring the director is wellprepared andinformed.
  • Take minutes of both external andinternal meetings

2)Communication:

  • Act as a liaisonbetween the director and internal/external stakeholders.
  • Draft and edit emails reports and othercommunications on behalf of thedirector.
  • Coordinate with office employees onbehalf of the director for regularupdates

3) Documentation and RecordKeeping:

  • Manage and organizedocumentation ensuring confidentiality of sensitive information.
  • Prepare proofread and edit documentspresentations and reports asrequired.

4) MeetingCoordination:

  • Plan and coordinateinternal and external meetings including logistics agendapreparation and followup actions.
  • Recordminutes of meetings and distribute them to relevantparties.

5) TravelArrangements:

  • Arrange domestic andinternational travel itineraries accommodations and other logisticsfor the director.

6) ExpenseManagement:

  • Track and reconcileexpenses ensuring accuracy and compliance with companypolicies.

7) ProjectSupport:

  • Assist in special projectsand initiatives providing administrative support asneeded.

8) Prioritization and TimeManagement:

  • Effectively prioritizetasks and manage competing demands to meetdeadlines.

JobRequirements

  • Education:Graduation or postgraduation preferably in business administration.
  • Experience: 3 5 years of previous experiencein an administrative role preferably supporting highlevelexecutives or directors is required.
  • Organizational Skills: Strong organizationalabilities are essential for managing calendars documents meetingsand travel arrangements efficiently. experience with calendarmanagement tools and online collaboration platforms will bepreferred.
  • Communication Skills: Excellentwritten and verbal communication skills.
  • Attention to Detail: The ability to maintainaccurate documentation proofread materials and ensureconfidentiality of sensitive information is crucial.
  • Tech knowledge: Proficiency in officeproductivity software such as Microsoft Office Suite (Word ExcelPowerPoint Outlook)
  • Adaptability: The capacityto adapt to changing priorities handle multiple taskssimultaneously and work well under pressure is important in afastpaced environment.
  • Working Hours :Flexible; candidate must be available for late hours as thedirector may attend externalmeetings.
