Job Responsibilities:

Offices

- Responsible for renewals of all global Toluna & MetrixLab office leases (working in support of country Managing Director’s).- Proactively organize office renewals & openings.- Define requirements with local Managing Director.- Define options based on local needs, and discussions with landlords and brokers.- Negotiate terms with landlords and brokers.- Build a business case with local Managing Director to be approved by CFO.- Responsible for supporting the remaining lease consolidation as part of the MetrixLab – Toluna integration (working in collaboration with the Integration Management Office).- Responsible for liaising & coordinating with all global building landlords, vendors, property agents / brokers etc. throughout the lease lifecycle.- Responsible for coordinating with building management for any operational issues.- Responsible for space planning.- Work with key leaders to manage some of our strategic licences.

Licences

- Responsible for renewals of all certain key global licences (e.g. LinkedIn Recruitment).

Carbon Footprint

- Responsible for collection of all office related data for the annual carbon footprint exercise.

MIS & Reporting

- Maintenance of the office lease repository & tracker.- Build business cases and recommendations for each office renewal / opening.- Build business cases and recommendations for relevant licence renewals.- Report on office footprint transformation.- Update SOP on office lease management.- Internal and External statutory audits.

The ideal candidate would have:

- 4+ years of experience in either Finance, Procurement, Operations (with vendor management experience) or Office Management.- Strong proficiency in MS office.- Strong analytical skills required e.g. excel skills, modelling of business cases.- Experience working & negotiating with external vendors (including licence renewal) strongly recommended.- Exposure to global facility management is a bonus.- Strong written and oral communication skills.- Strong interpersonal skills required – e.g. listening, collaboration, confidence to dissent / challenge.- Highly motivated, self-directed & possessing a driven personality capable of working within tight deadlines.- Problem solving ability coupled with ability to create logical solutions to resolve complex situations.- Experience working with international clients on a day-to-day basis would be helpful.- Willingness to work flexible hours to support global operations.- Demonstrated ability to perform and prioritize multiple tasks in a fast-paced environment.
