Job Description:
The role of an Ad Operations Manager within the Digital Ad Operations team requires an individual to execute the operational responsibilities outlined below in heavy collaboration with other departments, including but not limited to the production, customer success, sales, and finance teams. The role requires the candidate to be an excellent communicator, have a mindset of being a taskmaster, be growth oriented, affinity for numbers, and build efficiencies within the team for optimum utilization of resources and profitability.
The Ad Operations Manager will be trained on the display ad operation products, namely on-network community, off-network, and 3rd party ABM. The role also requires a strategic mindset to build for the future, as the individual will need to provide input to improve processes and products within the commercial organization through regular communication and collaboration with P&E and marketing teams.
Job Responsibilities:
Pre-Sales Support:
Ensure all stakeholders have the right information for the order/campaign being booked
Provide avails. for campaigns and strategies in collaboration with sales and production teams for AdOps products.
Establish seamless communication channels between different departments to ensure the correct proposal is submitted to the clients. Submitting the avails/options along with timelines in Salesforce or via a slide deck to sales team members to provide to the client.
Order Line Item(OLI)/Campaign Setup, Management, and Communication - Streamlining entire lifecycle of planning, executing, and overseeing ad campaigns with a strong emphasis on effective communication, collaboration, and operational management throughout the process.
- Ensure Wrike is updated for day to day communication.
- Ensuring the team stays on top of the campaigns by collecting assets, information related to campaign setup in a timely manner
- Ensure the campaign starts on time and is meeting the campaign goals. Proactively communicate in case of any hold-ups or alignment with relevant teams (CS, Sales)
- Capturing custom client requirements for the OLI/Campaign checking feasibility, commercial impact, and timeline impact with the relevant production teams of the custom requirements, and communicating the same with the internal and external clients for further action. Communicate with internal and external stakeholders/customers on progress of the oli/campaign vis-a-vis the plan across every stage of the OLI/campaign.
- Proactively report delays and unplanned events, both positive and negative, as they may occur during the entire OLI/campaign journey.
- Ensure that timelines are met as planned, and if they are not, highlight the delays and work with relevant teams and stakeholders to resolve the delay and get the project back on track.
Client Delivery and Revenue Recognition:
- Ensure campaigns goals are met/verified and its financial impact is accurately captured in the company's records with effective communication and cross collaboration between production, sales, finance teams
- Ensure delivery of the required deliverables for both the internal and external client; deliverables may include, but are not limited to, weekly/monthly campaign reports, end of campaign reports, 3rd party data consolidation, end of month actualization report, adherence to follow SOP and daily dashboard updation, WBR/MBR/QBR reports
- Communicating and collaborating with production teams to confirm the campaign is complete; once confirmed by the production team, work with the finance team to recognize the revenue for the month in the accounting system and update Salesforce.
- Work with the audit teams for any queries raised during financial or SOX audit.
- Provide inputs to scale and monetize O&O and ABM products by working closely with the product team
- Ensure timely updates and follows up are done with vendors to meet campaign goals
- Ensure checks and balances are in place to proactively reduce any operational risks
- Onboarding/evaluating new suppliers with different capabilities
- Vendor management for weekly commitment, quality and monthly commitment
Performance Tracking and Measurement (Including but not limited):
- Delivery Rate - MoM and QoQ
- Performance of all B2B AdOps Products and subproducts
- Customer Based Reporting
- Product Based Reporting
- SLA Based Reporting
- Team KPI reporting on a weekly, monthly, quarterly basis.
Team Management - Responsible for overall team performance and processes:
- Scaling up of O&O and ABM products
- Regular documented feedback and coaching sessions to reportees
- Meet and exceed client expectations of goals and objectives
- Ensure team is following processes (managing, tracking, optimizing, providing insights on campaign performance) while streamlining the same to eliminate wastage
- Training needs analysis and regular capacity tracking to ensure optimum resources in place to manage volumes
Technology (Good to have):
- DSP - AdDaptive, GAM, DV360, TTD
- Brand Safety - Double Verify
- Salesforce, Wrike, Tableau, Google Sheets (Excel)
- Partner and Company Portals
Collaboration - Proactive and Effective cross functional goals:
Sales and CS team
- Bringing across any concerns / suggestions to enhance process with regular cadence calls
- Relaying feedback from the Sales & CS to ops team and ensuring documented and timely resolution is in place with action plans
- Assist the Sales and CS teams with insights, historical and factual data to support any insights to grow BU.
Product Team:
- Work closely with the product team to resolve any shortcomings in the process and manage end to end solution
- Have tangible goals in place that will assist in scaling, enhancing and monetizing current products and services
- Track and proactively communicate in case of changes to goals and objectives while keeping everyone informed
Other teams (ELT, Reporting head):
- Ensure end of month actualization numbers are in sync with dashboard
- Ensure weekly steer reports data is ready on time
- Proactively communicate focus delivery points or any other insights on monthly basis
- Collaborate with the Audit teams regularly and ensure operational hygiene is maintained within the process.
