Job Title: Virtual Assistant
Job Summary: We are seeking a highly organized and efficient Virtual Assistant to support our team from our office location. The Virtual Assistant will be responsible for a variety of administrative tasks, including managing schedules, coordinating meetings, handling correspondence, and providing general administrative support. The ideal candidate will be proactive, detail-oriented, and able to work independently with minimal supervision.
Responsibilities:
- Manage calendars and schedules, including scheduling appointments, meetings, and travel arrangements.
- Coordinate and prioritize incoming requests and emails, responding to or redirecting as necessary.
- Prepare and edit documents, presentations, and reports as needed.
- Conduct research on various topics and compile information into organized reports.
- Assist with project coordination and tracking, including setting up project management tools and updating project status.
- Handle incoming phone calls and inquiries, screening and directing calls as appropriate.
- Organize and maintain electronic and paper files, ensuring easy access and retrieval of information.
- Assist with basic bookkeeping tasks, such as tracking expenses and invoicing.
- Provide general administrative support, such as ordering office supplies, maintaining office equipment, and coordinating office events.
- Perform other duties as assigned to support the team and organization.
Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Proven experience as a virtual assistant or administrative assistant.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other common software tools.
- Familiarity with online collaboration and communication tools, such as Google Workspace (formerly G Suite), Zoom, and Slack.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work effectively in a fast-paced office environment.
- Reliable transportation to and from the office.
