Job Title: Virtual Assistant


Job Summary: We are seeking a highly organized and efficient Virtual Assistant to support our team from our office location. The Virtual Assistant will be responsible for a variety of administrative tasks, including managing schedules, coordinating meetings, handling correspondence, and providing general administrative support. The ideal candidate will be proactive, detail-oriented, and able to work independently with minimal supervision.


Responsibilities:

  • Manage calendars and schedules, including scheduling appointments, meetings, and travel arrangements.
  • Coordinate and prioritize incoming requests and emails, responding to or redirecting as necessary.
  • Prepare and edit documents, presentations, and reports as needed.
  • Conduct research on various topics and compile information into organized reports.
  • Assist with project coordination and tracking, including setting up project management tools and updating project status.
  • Handle incoming phone calls and inquiries, screening and directing calls as appropriate.
  • Organize and maintain electronic and paper files, ensuring easy access and retrieval of information.
  • Assist with basic bookkeeping tasks, such as tracking expenses and invoicing.
  • Provide general administrative support, such as ordering office supplies, maintaining office equipment, and coordinating office events.
  • Perform other duties as assigned to support the team and organization.


Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Proven experience as a virtual assistant or administrative assistant.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other common software tools.
  • Familiarity with online collaboration and communication tools, such as Google Workspace (formerly G Suite), Zoom, and Slack.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to work effectively in a fast-paced office environment.
  • Reliable transportation to and from the office.
