Job Title: Executive Assistant to Director

Job Description:

The Assistant Coordinator to the Sales Director provides high-level administrative and coordination support to the Sales Director and broader sales team. This role is essential in helping streamline daily operations, manage communications, coordinate sales initiatives, and ensure the Sales Director's time and resources are used efficiently.

Qualification: Any Graduate or Post Graduate

Experience: 5 to 10 years of experience as an Executive Assistant, Personal Assistant or similar role with excellent verbal and communication skills

Responsibilities:

Key Responsibilities:

Administrative Support

  • Manage the Sales Director's calendar, appointments, and travel arrangements.
  • Prepare reports, presentations, and correspondence on behalf of the Sales Director.
  • Organize and maintain sales documentation, records, and files.

Sales Coordination

  • Assist in coordinating sales meetings, training sessions, and performance reviews.
  • Track sales targets and assist with performance reporting.
  • Liaise with sales team members to collect data, updates, and feedback.

Communication

  • Act as a point of contact between the Sales Director, internal departments, and external stakeholders.
  • Draft internal communications and assist with client communications when required.
  • Follow up on pending tasks, deadlines, and commitments on behalf of the Sales Director.

Project Support

  • Support the implementation of sales initiatives, campaigns, and events.
  • Monitor progress of strategic projects and prepare status updates.
  • Assist in organizing trade shows, product launches, or promotional activities.

Data & Reporting

  • Assist in compiling sales reports, forecasts, and performance metrics.
  • Maintain CRM systems and ensure data accuracy.
  • Help analyze sales trends and provide actionable insights.

Requirements:

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word); experience with CRM software is a plus.
  • High level of discretion and professionalism.
