Global STP Improvement charter for Procurement Operations covering Sourcing, Chanel Enablement, and Catologue and Content Management, provides information and support to the STP Service Delivery teams, Global Transitions team, Global Procurement and Market Procurement teams across Diageo and liaises with other internal & external customers.

Key priorities of this agenda are transforming contract lifecycle management and third-party risk management processes.

Contract Lifecycle management is a core Procurement process involving the creation, amendment, termination, approval, and sign of buyside contracts.

To improve and automate this core process Diageo Procurement is launching a new, centralised contract lifecycle management tool (Icertis). The administration and configuration support of the tool to be provided by Diageo’s Global Business Organisation (GBO), Source to Pay department (STP)

Leadership Responsibilities & capabilities

This role is responsible for embedding and maintaining the core procurement process of contract management in a new system solution called Icertis.

This role will be critical in ensuring we bring to bear the c. £1m investment in the new solution and deliver the associated business benefits in terms of process efficiency in Global Procurement.

The contracts within the new system will cover over £4bn of third party spend. These represent a significant risk to Diageo so the correct approval processes and accurate storage of documents is critical to mitigate that risk. The Contract Management Senior Specialist will be directly accountable for ensuring the new system meets these requirements.

Purpose of Role:

This is a complex Contract Management Specialist role which will directly support the Global Procurement Team (covering all Regions and Global CoEs) and Legal across the end to end contract lifecycle management process.

This will include:

supporting the project implementation through the contract management system global rollout

leading the continuous improvement of a new contract management system solution (Icertis) to meet Procurement’s contracting requirements in terms of contract creation, amendment, risk mitigation and reporting

Top Accountabilities

Proactively connecting with key customers across Procurement and Legal to ensure the new Icertis Contract Management system configuration meets their requirements in terms of misleading contact process from initiation to approval, content such as contract templates and analytics offering insights to contractual risk and process performance.

Close alignment with the Procurement Legal team to embed contract templates and a harmonised legal clause library in Icertis. Including digitising new templates and making changes to existing clauses including the configuration changes, user testing and release to the live systems. Drive initiatives which support accurate critical metric information and maintenance of contract records.

Maintaining and improving the system configuration including the collection of metadata in contract creation to fuel reporting / analytics and the overall contract processes / approvals including for clause deviations and contract approvals in line with the Statement of Authority.

Maintaining and updating user documentation aligned with system improvements / changes. This will include on-line help & support documentation together with Training and User Guides / Manuals aligned with D&T standards. Creating and maintaining the internal process documentation or desktop procedures (DTPs)

Connecting and securing resources within the Digital and Technology (D&T) organisation to support and maintain the interfaces to SAP, Coupa and Docusign. Taking ownership for resolving any issues with the technical collaborate with the right resolver groups.

Leading improve projects to define and improve the contract management process in-line with project team and partner input (including Heads of Procurement, Legal Operations and our procurement teams).

Leading the day to day working relationship with the solution provider Icertis including accessing contractual consultant support and training in addition to the third line support Icertis will provide. Ensuring technical issues are satisfactorily resolved and input is provided to the vendor owner as part of the supplier performance management processes.

Train and develop the systems AI capabilities to enable the accurate migration of existing contracts to the new Icertis system.

Assess and lead the release of new functionality releases as the solution provider Icertis develops and enhances the product. Communicate changes to the business partners in Procurement and Legal user community

Delivering training to end users in Procurement and Legal and maintaining training assets. Handling the day to day questions and requests for support from end users (c. 400 FTE)

Skills required

Business partnering: build, lead and grow trust with global community of Procurement leaders and Legal. Collaboration to drive excellent user experience, data quality and completeness improvement

End to end delivery excellence: comprehensive understanding of processes and system configuration to develop and improve Icertis. Take ownership for delivering changes and enhancement, including best in class application of Icertis configuration. Support queries from customers such including Procurement, Legal and Suppliers.

Application of agile and user design theory to define, maintain and prioritise a backlog of user needs across core contract management requirements. Develop the plan and roadmap to support a unified deployment plan for Procurement and Legal.

Strategy development and execution. Develop and evolve strategies to improve and optimise contract management for end users to optimise performance and efficiency. Drive strategies and deliver projects to improve data quality and accuracy.

Apply and improve tools & techniques. Apply Diageo Procurement best practice standard, ensuring the most recent and relevant approaches are always applied; use formal governance and peer review to ensure the quality and efficacy of risk management; give to development of standards.

Being creative and pragmatic in identifying and quantifying opportunities for improvement.

Qualification and experience required

Graduate or equivalent qualification and member of professional body.

Experience in Procurement and or Project Delivery or other relevant role.

Subject-matter expertise in core Procurement systems and processes – especially contract management

Process improvement skills (eg 6 Sigma, Lean), are desirable to support improve projects

Demonstrated performance in problem solving, leading projects and teams.

Strong analytical, interpersonal skills, communication skills, negotiation skills and project management experience.

Understanding and or practical experience with Procurement key lifecycle processes.

Strong analytical and financial competence, including a comprehensive understanding of organizational financial goals and value drivers relevant to Procurement and value chain.

Track record influencing and leading senior partners and budget holders and driving cross-border and cross-multi-functional.

Good communication skills: verbal, written and presentation; strong social skills.

Proven track record of consistent performance and delivery.

Experience in Procurement technology design, deployment and support.

Experience of leading technology vendors in delivering third line system support.
