Job Description

Sunbytes is seeking a dynamic Office Manager to support the CEO in spearheading the growth and development of their office in Ho Chi Minh City. Our client stands as a leading Tech solutions innovator in Europe, delivering cutting-edge software with a team of 50+ engineers in Vietnam and looking to grow to 100+ in the next year. The company prides itself on its adept cross-functional teams, spanning both Vietnam and Europe, known for their exceptional skill and collaboration.

This position offers a unique opportunity to be at the heart of the company's expansion in Vietnam, ideal for a candidate with a strong foundation in HR, finance, and operations. As an Office Manager, you will be instrumental in managing a broad range of administrative responsibilities, ensuring the office's seamless operation. Your role will be critical in nurturing a productive workplace, supporting a talented team, and contributing to the growth of a globally recognized company.

Therefore we are looking for someone who is great at understanding high-level insights. Is sensitive to stakeholder management within different cultures. At the same time as an Office Manager, you can deep dive into details and where needed align and adjust the organization in line with the company's goals. You are open to feedback from any level and are great at giving constructive feedback to help others around you perform.


Your responsibilities:

  • Provide support to the CEO in HR, finance, and operational matters in Vietnam & the head office. Ensure that all office-related tasks are managed and run smoothly
  • Manage relationships with accounting, legal, and other partners to ensure accurate and efficient completion of work
  • Act as a liaison between the CEO and other partners/stakeholders, including suppliers, customers, and employees
  • Oversee the financial operations of the office, including but not limited to, managing invoices, payments, and budget tracking
  • Oversee HR matters such as: developing and maintaining HR policies and on/offboarding & recruiting procedures in accordance with local laws and regulations, planning and coordinating company events and team-building activities…
  • Manage office administration, including but not limited to, ordering supplies, maintaining office equipment, and ensuring a clean and organized workspace
  • Perform other duties as assigned by the CEO.

Requirements

Performance as Office Manager, we expect you to have the experience with and knowledge of:

  • Bachelor's degree in HR, finance, business administration or related field
  • At least 5 years of experience in HR, finance, and operations
  • Strong knowledge of local HR and labor laws and regulations
  • Strong experience in Excel and managing data is a pre
  • Proven experience in office administration and management
  • Experience in an international working environment
  • Excellent organizational and time-management skills
  • Strong verbal and written communication skills in English and Vietnamese
  • Ability to multitask and prioritize tasks effectively for yourself and others

Leverage innovative sourcing methods and strengthen our employer brand through social media, networking events, and job boards to attract talents Provide guidance and feedback to candidates throughout the interview process, ensuring a positive experience. Collaborate with the recruitment team to share market insights, candidate leads, and best practices. Achieve recruitment targets and contribute to the growth and success of the service.
