Position Title : Facility Manager


Overview: The Facility Manager is responsible for ensuring that the physical environment of the organization is safe, well-maintained, and optimally functional. This role involves overseeing the maintenance, security, and operations of the facilities, managing budgets, coordinating with vendors, and ensuring compliance with health and safety regulations.


What you’ll do (Key deliverables)


1. Facility Operations:

  • Oversee the day-to-day operations of the facility, ensuring smooth and efficient functioning.
  • Develop and implement facility management policies and procedures.
  • Ensure the facility is clean, safe, and well-maintained at all times.

2. Maintenance and Repairs:

  • Schedule and supervise regular maintenance and repair work for all building systems (HVAC, electrical, plumbing, etc.).
  • Conduct regular inspections to identify maintenance needs and ensure timely repairs.
  • Maintain a maintenance log and ensure all work is documented and tracked.

3. Budget Management:

  • Develop and manage the facility's budget, ensuring cost-effective use of resources.
  • Track expenses and identify opportunities for cost savings.
  • Approve and manage expenditures related to facility operations and maintenance.

4. Vendor Management:

  • Coordinate with external contractors and service providers for facility maintenance and repairs.
  • Negotiate contracts and service agreements to ensure cost-effective and high-quality services.
  • Monitor vendor performance to ensure compliance with service agreements.

5. Health and Safety Compliance:

  • Ensure the facility complies with all relevant health and safety regulations.
  • Conduct safety audits and inspections to identify potential hazards.
  • Implement safety protocols and emergency response procedures.

6. Space Management:

  • Plan and manage space allocation and layout changes within the facility.
  • Coordinate office moves and setup for new employees.
  • Ensure optimal use of available space to meet organizational needs.

7. Environmental Sustainability:

  • Promote and implement sustainable practices within the facility.
  • Monitor energy consumption and implement initiatives to reduce energy usage.
  • Ensure compliance with environmental regulations and standards.

8. Documentation and Reporting:

  • Maintain accurate records of maintenance activities, vendor agreements, safety inspections, and facility expenses.
  • Prepare and submit regular reports on facility operations and maintenance.
  • Ensure all documentation is up-to-date and easily accessible.

9. Team Management:

  • Supervise and support facility management staff, including maintenance personnel and cleaning staff.
  • Provide training and development opportunities to enhance team performance.
  • Foster a collaborative and positive work environment


Key Responsibilities:

1. Strategic Leadership & Operational Management: Develop strategic plans and oversee all hospitality operations to ensure high service quality and guest satisfaction.

2. Team & Financial Management: Recruit, train, and manage staff, while optimizing the budget and financial performance.

3. Guest Experience & Compliance: Champion a guest-centric approach and ensure compliance with industry standards, maintaining strong stakeholder relations.


Minimum qualifications/ Experience:

•Bachelor’s degree in Facilities Management, Engineering, Business Administration, or a related field.

Minimum of 5 years of experience in facility management or a related role.

Strong knowledge of building systems, maintenance procedures, and safety regulations.

Excellent organizational and time-management skills.

Strong communication and interpersonal skills.

Proficiency in using facility management software and tools.

Ability to manage multiple tasks and work under pressure.

Problem-solving skills and attention to detail.

Flexibility to respond to emergencies outside of regular working hours.
