Lead Specialist – Executive/Administrative Assistants (Grade D) What can you expect: Calendar Management: Coordinate and manage executive calendars, ensuring efficient scheduling of meetings, appointments, and travel arrangements.Prioritize and communicate schedule changes promptly.PO (Purchase Order) Administration: Generate, review, and process purchase orders and Invoices related to IT vendorsEnsure accurate and timely invoicing and resolve any discrepancies.Meeting Coordination: Plan, organize, and coordinate meetings, conferences, and events.Prepare meeting agendas, documents, and follow-up on action items.End to End Managing Leadership visitsTravel Arrangements:Make travel arrangements, including flight bookings, hotel accommodations, and transportation. Prepare detailed itineraries and ensure travel logistics are seamless. Documentation and Filing:Maintain organized and up-to-date files, records, and documents.Assist in document preparation, formatting, and distribution. Office Management:Oversee office supplies and equipment, ensuring a well-equipped and efficient work environment.Handle administrative tasks to support the smooth operation of the executive's office. Confidentiality:Maintain strict confidentiality regarding sensitive information and executive decisions.Handle confidential documents and information with discretion. Relationship Management:Build and maintain positive relationships with internal and external stakeholders.Serve as a liaison between the executive and other team members. Problem Solving: Anticipate and address potential issues, finding solutions to challenges proactively. Take initiative to resolve problems and streamline processes. Special Projects:Assist in the execution of special projects, research, and presentations as assigned by the executive.Collaborate with other team members to achieve project goals.What is in it for you?-

Interpersonal Skills:Build and maintain positive relationships with internal and external stakeholders, exercising diplomacy and tact. Bachelor’s degree in business administration or related field preferred.-

Proven experience in portfolio or program management, specifically in managing training budgets and vendor-

Proven experience as an executive assistant or in a similar role.-

Exceptional organizational and multitasking abilities.-

Strong written and verbal communication skills.-

Proficient in Microsoft Office Suite and other relevant software.-

High level of discretion and ability to handle confidential information.-

Detail-oriented and capable of working independently.-
