Key Responsibilities
- Preparation & Formatting: Create, format, and update letters, SOPs, checklists, and trackers using approved templates.
- Collection & Verification: Gather documents from stakeholders; check completeness, signatures, dates, and references.
- Version Control & Indexing: Maintain document numbers, revision history, and indexes; label and tag files correctly.
- Filing & Archiving: Manage physical files, scanning, and digital repositories (SharePoint/DMS); follow retention schedules.
- Audit & Compliance Support: Maintain logs, access controls, and change records; compile files for internal/external audits.
- Tracking & Reporting: Update trackers; publish weekly status/MIS; close pending items within TATs.
- Coordination & Logistics: Handle dispatch/courier logs, acknowledgments, stamping, and safe custody of originals.
Qualifications & Experience
- Education: Graduate (any discipline).
- Experience: Minimum 1 year in documentation/document control/records management (HO/Corporate preferred).
Skills & Tools
- Strong attention to detail, organization, and follow-through.
- Proficiency in MS Word, Excel, PowerPoint, and PDF tools; familiarity with SharePoint/DMS is a plus.
- Comfort with scanning, filing, and handling physical records.
- Understanding of confidentiality, data privacy, and audit trails.
- Clear written and verbal communication; stakeholder coordination.
