Administrative Executive

Role Overview:The Administrative Executive will serve as the assistant to the Managing Director (MD), providing seamless support for both personal and professional administrative tasks. This role will involve managing the MD's calendar, organizing travel and accommodation, booking flights, arranging events, and handling various other administrative duties with precision and discretion.
Key Responsibilities:Calendar Management:
Efficiently manage and organize the MD’s calendar, scheduling meetings, appointments, and travel itineraries.Travel Coordination:
Arrange domestic and international travel, including flight bookings, hotel accommodations, transportation (cabs, rentals), and event registrations.Event Planning & Coordination: Assist in organizing and coordinating internal and external events, ensuring all logistics (venues, invites, materials, etc.) are in place.Administrative Support:
Provide general administrative support to the MD, including managing emails, drafting communications, and preparing documents for meetings.Expense Management: Keep track of travel, event, and other administrative expenses, and assist with filing and processing reimbursements.Confidentiality & Professionalism:
Handle sensitive information with the utmost confidentiality and professionalism, ensuring a high level of trust.Miscellaneous Tasks: Assist with ad-hoc tasks as required by the MD, contributing to the overall success of the executive office.
Qualifications:Experience: Minimum of 2-3 years in an administrative role, ideally supporting senior leadership or executive teams.Skills:Exceptional organizational skills with a keen eye for detail.Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and calendar management tools.Excellent written and verbal communication skills.Strong time management skills and the ability to prioritize tasks effectively.Discretion and the ability to handle sensitive information confidentially.Attributes:Strong problem-solving skills and proactive approach to work.Flexibility and adaptability to changing priorities and tight deadlines.Strong interpersonal skills and the ability to work effectively with a wide range of stakeholders.
