Experience: 6 months - 1 year experience as a receptionist/admin role
Work location: We are seeking for a candidate who can perform a dual role as a Front Office Executive as the reception in our 2 companies which are in the same building.
Address: Amar Nexus, Kavoor, Mangalore –
1) Amar Infraprojects Head Office - 3rd Floor (Infrasturcture industry)
2) Hotel Shoolin Comforts - Ground Floor (Hospitality industry)
Working hours:
1) Amar Infraprojects Head Office: Monday to Saturday from 9:00 AM to 6:00 PM including 1 hour lunch break. Sundays are fixed weekly off
2) Hotel Shoolin Comforts (Hospitality industry): Part time hours from 6:30 PM to 10:30 PM or may vary depending on the schedule outlined in the duty roster
ROLES & RESPONSIBILTIES
A. FRONT OFFICE - AMAR INFRAPROJECTS HEAD OFFICE
· Switch on the music machine as per the guidelines to play different music
· Turn on the ACs & relevant electricals in the office
· Ensure the MD & CEO's room is clean with cabin curtains drawn & water bottles filled
· Maintains telecommunication system and connect to concerned person.
· Collect the courier parcel and distribute to concerned department
· Change the flowers on God's photo
· Serves visitors by greeting, welcoming and directing them with the concerned team to provide water tea and coffee
· Notifies company personnel of visitor arrival
· Informs visitors by answering or referring inquiries
· Responsible for stock management e.g., stationaries, and housekeeping materials
· Maintenance of stocks of stationery, cleaning agencts etc. in system
· Keep a safe and clean reception area by complying with procedures, rules and regulations
· Office decoration at the time of festival and maintain decoration material
· Coordinate the in-office cleaning activities of the housekeeper as per the schedule
· Contributes to team effort by accomplishing related result as needed
· Coordinate in HR department allotted work of candidates for recruitment
· Coordinate the meetings of the employees with the MD & CEO
· Involve in any management allotted work
· Supervise the work of the housekeeper's assigned work within the office premises
B. FRONT OFFICE - HOTEL SHOOLIN COMFORTS
· Greet guests upon arrival and ensure a smooth check-in process
· Verify guests' information and assign rooms according to their preferences and requirements
· Process payments and manage guest accounts accurately during check-out
· Provide prompt, courteous, and efficient service to guests
· Address guest inquiries, requests, and complaints promptly and professionally
· Ensure guest satisfaction by resolving issues and anticipating their needs
· Handle room reservations, changes, cancellations, and room assignments
· Maintain accurate records of room availability and guest information using hotel management software
· Serve as a liaison between guests and other hotel departments
· Relay important information to guests regarding hotel amenities, policies, and local attractions
· Perform administrative duties such as answering phones, responding to emails, and handling correspondence
· Maintain a tidy and organized front desk area, including lobby and guest service areas
· Manage cash transactions and maintain a balanced cash drawer
· Prepare daily reports and reconcile transactions accurately
· Follow hotel safety protocols and procedures to ensure the security of guests and staff
· Handle emergency situations calmly and efficiently
Job Types: Full-time, Permanent
Pay: ₹20, ₹25,000.00 per month
