Front Office Executive (FOE) SCOPE OF WORK
Responsible for greeting visitors answering a multiline telephoneand meeting room
management all of which contributes tothe productivity and effectiveness.
Responsible formanaging guest request and enquiries.
Answers allincoming phone calls & redirects as necessary.
All phone call enquiries are handled efficiently politely and withconfidentiality.
Maintains a daily record of visitorsand other metrics as required.
Maintains uptodateinternal reference material and Directories.
Maintainsstaff attendance registry Service reports and delivery challanfile.
Issues and retrieves visitor passes &temporary access cards based on established
procedures.
Receives & logs Incoming/ outgoingmails & courier; handover to office boy for
internal delivery.
Places catering orders for meetingsoffice events and officewide Lunch and Learns.
Maintainscleanliness within the external meeting room area which promotesa
welcoming hospitable environment.
Managesmeeting room spaces effectively and efficiently by overseeingscheduling
on daily basis.
Engages in avariety of requests to support employees and visitors toCPPIB
including: coordinating meeting room bookingscoordinating meeting room Service requests;
courier/mailrequests.
Assists with emergency procedures asrequired.
Complies with all policies guidelines& standards at all times.
Oversees the office inthe absence of the Office Manager Facilities &Office
Services.
Should be Proficient inwritten and oral communication in English as well aslocal
dialect.
Support the office Manager inproviding of necessary reports etc as required on
timelybasis
All other duties as assigned.
Manageand coordinate housekeeping functions for the facility; analyze andplan
housekeeping programs and schedules ensuring properdistribution of assignments and
adequate manningsupplies and equipment for subsequent performance ofduties.
Train employees in proper housekeepingprocedures and appropriate performance of
duties;analyze training needs and determine most effective course ofaction to address
deficiencies.
Evaluate andmake recommendations concerning cleaning products andequipment.
Order and maintain sufficient inventory ofhousekeeping supplies and equipment.
Prepare periodicreports analysis and appropriate recommendations orconclusions.
Ensure Housekeeping personnel maintainuniform and personal hygiene standards.
Perform otherrelated duties incidental to the work describedherein.
