Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, strong computer skills, and the ability to multitask in a fast-paced environment. As an Administrative Assistant, you will provide administrative support to ensure efficient operation of the office.

Duties:

  • Perform general clerical duties, including but not limited to photocopying, scanning, mailing, and filing
  • Maintain electronic and hard copy filing system
  • Handle incoming calls and emails, directing them to the appropriate person or department
  • Manage calendars and schedule appointments and conference calls
  • Take meeting minutes (when needed)
  • Data entry and uploading
  • Assist in the preparation of regularly scheduled reports
  • Prepare communications such as memos, emails, invoices, reports and other correspondence
  • Collecting and verifying timesheets for payroll
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Stocking Inventory
  • Book travel arrangements for staff members
  • Provide administrative support for various departments as needed
  • Organize various events for DVM
  • Receiving mail and packages from couriers
  • Keeping front office and conference rooms clean and organized
  • Coordinating with the building for any maintenance requests
  • Prepare and print marketing material
  • Additional duties as needed

Requirements

Requirements:

  • Proven experience as an administrative assistant or in a related role
  • Strong data entry skills with a high level of accuracy
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Knowledge of administrative procedures and systems such as filing and record keeping
  • Familiarity with Microsoft Suite (Outlook, Excel, Word, PowerPoint)
  • Strong proofreading skills with attention to detail
  • Receptionist experience is a plus
  • Impeccable attendance and punctuality
  • Experience in the construction industry is a plus
  • Spanish speaker is required
