Personal Assistant to Managing Director

The ideal candidate will be responsible for playing a crucial role in supporting the daily operations and managing schedules with a range of activities which will assist this organization's leadership. In this position, you will be coordinating calendar appointments, managing communications, and planning events, as necessary. . This position requires exceptional organizational skills, a high level of discretion, and the ability to work in a fast-paced environment. You should also act as a gatekeeper and liaison between the Managing Director and various stakeholders.

Responsibilities

  • Manage the Managing Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents, reports, and presentations for meetings.
  • Handle correspondence, including emails and phone calls, ensuring timely responses.
  • Act as the primary point of contact for internal and external communications.
  • Liaise with staff, clients, and other stakeholders on behalf of the Managing Director.
  • Maintain confidentiality and professionalism in all communications.
  • Assist in the coordination of special projects and initiatives as directed by the Managing Director.
  • Track project deadlines and deliverables, ensuring timely completion.
  • Prepare agendas and minutes for meetings, ensuring follow-up on action items.
  • Organize logistics for meetings, including venue arrangements and catering.
  • Conduct research and compile information relevant to the Managing Director’s projects and priorities.
  • Provide insights and recommendations based on findings.
  • Oversee office supplies and equipment, ensuring everything is adequately stocked and functioning.
  • Assist in creating a positive office environment.

Qualifications

  • Bachelor's degree or equivalent
  • 10+ years of experience as a Personal Assistant or Executive Assistant, preferably in a corporate environment.
  • Ability to handle multiple tasks while staying organized.
  • Ability to travel.
