In this dual-role position, you will be primarily responsible for overseeing the day-to-day administrative operations, while also supporting HR functions. Your role will involve a mix of administrative duties and HR responsibilities, with a focus on ensuring smooth office operations and efficient recruitment processes.


Key Responsibilities:


a) Administrative Operations:


  • Oversee day-to-day office operations, manage office supplies, and ensure a clean, organized, and efficient work environment. Coordinate maintenance and repairs for office equipment and facilities.

  • Provide comprehensive administrative support, including managing correspondence, reports, and documents. Schedule and coordinate meetings, appointments, and travel arrangements.

  • Maintain and update office records, files, and databases, ensuring the security and confidentiality of all information.

  • Liaise with vendors for supplies and services, negotiate contracts, and manage vendor relationships. Process invoices, receipts, and payments in coordination with the finance department.

  • Organize and coordinate office events and meetings, managing logistics to meet requirements. Handle incoming and outgoing mail, including emails and courier services.


b) Recruitment Support:


  • Assist the HR team with the hiring process by creating, maintaining, and managing recruitment data.

  • Conduct initial telephonic interviews, serve as the main point of contact for candidates throughout the recruitment process, and manage the scheduling of interview rounds until a final decision is made.


Requirements
  • Excellent verbal and written communication skills are mandatory.

  • Excellent proficiency in MS Office, with a strong focus on MS Excel.

  • Comfortable with cold calling as part of the process.

  • Proficient in building networks with prospective candidates and vendors.

  • Demonstrates a thorough understanding of administrative and HR processes.

  • Exhibits proficiency in follow-ups and managing multiple tasks efficiently.
