Executive Secretary to Managing Director

We are a well-established real estate company offering a wide range of services under one roof, operating for over 20 years. We are currently seeking an organized and detail-oriented Executive Secretary to support our Managing Director. This role is essential in managing the daily operations, ensuring smooth communication, and helping drive business efficiency by handling administrative and project-related tasks.
Key Responsibilities:
1. Direct Administrative Support to the Managing Director:
- Manage the Managing Director’s calendar, schedule meetings, and coordinate appointments.- Handle all correspondence, including managing emails, phone calls, and messages on behalf of the Managing Director.- Organize travel arrangements, including booking flights, accommodations, and preparing detailed itineraries.- Prepare, edit, and proofread documents, reports, presentations, and other materials as needed by the Managing Director.
1. Meeting and Communication Management:
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on key action points.- Act as the primary point of contact between the Managing Director and internal/external stakeholders.- Handle confidential and time-sensitive information with discretion.
1. Task and Time Management:
- Prioritize and manage multiple tasks, ensuring deadlines are met and the Managing Director is informed of upcoming priorities.- Track ongoing projects and follow up with relevant teams to ensure timely completion of tasks.
1. Project and Operations Support:
- Provide support in coordinating and executing special projects and initiatives as directed by the Managing Director.- Ensure all project updates, reports, and other relevant information are shared promptly with the Managing Director.
1. Document and File Management:
- Organize and maintain confidential files, documents, and records in both physical and digital formats.- Ensure easy retrieval of important information as and when needed.
1. Liaison and Relationship Building:
- Liaise with internal teams, clients, and external partners to facilitate effective communication on behalf of the Managing Director.- Build positive relationships with key stakeholders, ensuring their inquiries and requests are handled professionally.
1. Travel and Event Coordination:
- Manage all aspects of travel arrangements for the Managing Director, including visas and other necessary documentation.- Coordinate and assist in planning events, meetings, or conferences as required.
1. Support for Personal Tasks (Optional):
- Assist the Managing Director with any personal errands or tasks, ensuring a balance between personal and professional life.
Key Skills & Qualifications:
- Education: Bachelor’s degree in Business Administration, Office Management, or a related field.- Experience: At least 2-3 years of experience in a similar role, directly supporting a C-level executive or Managing Director.- Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with office management software is an advantage.- Communication: Excellent verbal and written communication skills, with the ability to interact confidently with executives, clients, and team members.- Time Management: Strong organizational and time management skills, with the ability to prioritize tasks and handle multiple responsibilities.- Discretion: High level of discretion and confidentiality in handling sensitive information.- Problem-Solving: A proactive problem solver with the ability to anticipate needs and provide solutions.- Detail-Oriented: Meticulous attention to detail in all tasks, from drafting documents to scheduling.- Interpersonal Skills: Professional and approachable, with the ability to build strong relationships with internal and external stakeholders.
