Essential Area of Expertise: Post Shipment Export Documentation, Customs Compliance

Desired Area of Expertise: Export Finance, Letter of Credit (LC) Processing, International Trade Regulations

Critical/Special Exposure: Managing Export Documentation Post-Shipment, Ensuring Compliance with Export Regulations

Internal Interface (Designations): Sales, Finance, Logistics, and Warehouse Teams

External Interface (Suppliers/Govt Bodies/Communities): Custom House Agents (CHAs), Freight Forwarders, Banks, Regulatory Authorities (DGFT, RBI, EIA)

Reporting to: AGM – Export Documentation

Reportees (Function and Designation): NA

Purpose of the position

  • Ensure timely, accurate, and compliant post-shipment export documentation to facilitate smooth customs clearance, secure payment realization, and maintain robust customer relationships.

Roles and Responsibility

  • Prepare and verify post-shipment documents, including commercial invoices, packing lists, bills of lading, certificates of origin, and export licenses.
  • Ensure all documents comply with importing country regulations and terms specified in Letters of Credit (LCs).
  • Coordinate with Customs House Agents (CHAs), freight forwarders, and customs authorities to facilitate smooth customs clearance.
  • Ensure compliance with export regulations from bodies like the Directorate General of Foreign Trade (DGFT), Reserve Bank of India (RBI), and the Export Inspection Agency (EIA).
  • Monitor the status of shipments and resolve any discrepancies or issues that may arise during transit.
  • Maintain records of all shipment-related communications and documentation.
  • Provide timely updates to customers regarding the status of their shipments.
  • Collaborate with internal teams, including sales, finance, and logistics, to ensure seamless export operations.
    • Maintain accurate and up-to-date records of all export transactions for audit and compliance purposes.
    • Assist in the preparation of reports for internal and external stakeholders.
