Executive Assistant to Managing Director

- Calendar Management: Manage and maintain the Managing Director's schedule, including scheduling appointments, meetings, and conferences.- Travel Coordination: Make travel arrangements for the Managing Director, including booking flights, accommodations, and transportation.- Communication Management: Handle incoming and outgoing communications on behalf of the Managing Director, including emails, phone calls, and written correspondence.- Documentation and Filing: Maintain and organize files, records, and documents, ensuring they are easily accessible and up-to-date.- Meeting Support: Prepare agendas, take minutes, and distribute materials for meetings attended by the Managing Director.- Administrative Support: Provide general administrative support, including preparing reports, presentations, and other documents as needed.- Project Assistance: Assist the Managing Director with special projects and initiatives, coordinating tasks and ensuring deadlines are met.- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and vendors.- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Qualifications:
- Bachelor's degree preferred.- Proven experience of 2-4 years as an executive assistant or similar role, supporting senior-level executives.- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.- Strong written and verbal communication skills.- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).- Flexibility and adaptability to changing priorities and situations.- Attention to detail and accuracy in all work.- Ability to work independently with minimal supervision.
