We are hiring a Fleet Administrator for our UK client, here is a little about them in their own words:

Their mobile tech supports their 'eco-warriors on early' by connecting them to our customers via online ordering and driver apps, facilitating convenient doorstep deliveries. The tech also connects them to their network of independent dairies, farmers, and suppliers who are mutually committed to sustainable produce and plastic-free packaging. They continually innovate to expand their return and reuse range, and their business is ever-evolving.

However, they are purpose-driven, and their environmental goals are steadfast. Their mission is to revolutionise consumer habits by delivering fresh ways to return and reuse packaging, shop ethically, and feel good about convenience. Having expanded beyond the UK to launch in the US last year, we are exploding with double-digit monthly growth and looking to continue this with further international expansion.


Role Responsibilities - What you’ll be doing:

  • Produce weekly vehicle mileage updates and fleet lists.
  • Keep fleet databases and vehicle tracking systems up to date and accurate.
  • Ensure fleet maintenance schedules are up to date, including servicing, Vehicle Excise Licence, and MOTs.
  • Administer parking penalties, driving contraventions, speeding fines, and accidents/incidents.
  • Check, process, and log relevant supplier invoices.
  • Monitor the fleet operations email inbox and provide appropriate responses.
  • Coordinate and manage company policies.
  • Monitor and review Road Traffic Collisions, logging incidents, conducting root cause analysis, and performing post-accident investigations to reduce further accidents.
  • Work with the Partner to improve reporting of RTCs, help them conduct investigations, and reduce the time to report to insurance companies.
  • Proactively monitor driving behaviours through our vehicle tracking system to identify poor performance.
  • Provide Partners with clear reports with actionable outcomes to reduce accidents, fuel costs, and emissions.
  • Coach Partners to improve driving performance across their team and reduce the incidence of dangerous/poor driving styles in their driver cohort.
  • Accurately and timely coordinate weekly and monthly fleet reports.
  • Review fuel transactions and invoices, producing reports on fuel spend and emissions.
  • Monitor and report vehicle daily check completion, driving licence checks, and vehicles' out-of-hours usage.
  • Work with our Fleet Manager to drive efficiencies in all areas surrounding the Fleet and transport and perform ad hoc tasks as the business requires.


Requirements - What we’re looking for:

  • Being an effective and confident communicator, both spoken and written
  • IT literate with competence in using MS Office and Google Sheets
  • Minimum 3 years of experience in a busy, fast-paced fleet department or similar automotive-related operations role
  • Experience dealing with accidents and insurance companies
  • Excellent numeracy and literacy skills
  • Mechanical maintenance knowledge
  • A highly motivated individual with a can-do attitude and the ability to "make things happen"
  • The ability to demonstrate effective time management, prioritise tasks, and manage your workload


Work Schedule

As the client is UK-based, you will be required to work in UK daytime:

  • Monday to Friday
  •  13:30 - 22:30 IST (08:00 am - 17:00 GMT)
