Job Role: Executive & Personal Assistant to the Founder.
Job Location: Santacruz East, Mumbai (On-site - 5 days a week)
Position Overview:
We are seeking a highly organized and proactive Executive + Personal Assistant to provide comprehensive support to the Founder of our company. The ideal candidate will have a minimum of 4-5 years of experience, preferably in a startup environment, and possess excellent communication and time management skills. This role requires a high level of discretion, professionalism, and the ability to anticipate needs and prioritize tasks effectively.
Responsibilities:
- Manage the Founder's complex calendar, including scheduling meetings, appointments, and travel arrangements.
- Act as the primary point of contact between the Founder and internal /external stakeholders, screening and prioritizing communications as necessary.
- Prepare and edit correspondence, presentations, and other documents on behalf of the Founder.
- Conduct research and compile information as requested by the Founder to support decision-making and strategic initiatives.
- Assist with personal tasks and errands as needed, including managing personal appointments, reservations, calendar management.
- Coordinate and support special projects and initiatives as directed by the Founder, ensuring deadlines are met and objectives are achieved.
- Handle confidential information with discretion and maintain a high level of professionalism at all times.
- Proactively identify opportunities to streamline processes and improve efficiency in both personal and professional capacities.
- Anticipate the needs of the Founder and proactively address any potential issues or concerns before they arise.
- Collaborate effectively with other members of the executive team and provide support as needed to ensure the overall success of the organization.
Qualifications:
- Bachelor's degree in any stream.
- 4-5 years of experience as an Executive Assistant or Personal Assistant, ideally in a startup or entrepreneurial environment.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent written and verbal communication skills, with a professional and personable demeanor.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Resourcefulness and a proactive approach to problem-solving.
- Flexibility and adaptability to changing priorities and responsibilities.
- Positive attitude and willingness to take on new challenges and responsibilities as needed.
- A demonstrated commitment to professionalism, integrity, and ethical conduct.
