Position Title: Senior Bid Manager

Job Summary: The Senior Bid Manager will coordinate, write, and produce responses to Requests for Information (RFI), Requests for Proposals (RFP), and Requests for Quotations (RFQ). This role involves managing the proposal project, ensuring the delivery of compliant, professionally produced proposals within customer-defined timeframes, and facilitating pre-proposal planning meetings to maximize the proposal’s chances of success.


Core Responsibilities:

  • Proposal and Client Presentation (Orals) Management: Lead the proposal process and development of the client presentation when HGS is shortlisted, working closely with the sales lead who owns the opportunity, as well as the Solutions team and the SMEs. Ensure the delivery of compliant, professionally produced proposals and client presentations within customer-defined timeframes.
  • Content Creation: Write accurate and complete content and RFP answers that are aligned with the client requirements while showcasing HGS capabilities.
  • Pre-Proposal Planning: Facilitate pre-proposal planning meetings with the Sales and Solutions teams to ensure appropriate steps are taken to maximize the proposal’s chances of success. Identify the SMEs who need to be involved to support the proposal.
  • Strategy Facilitation: Lead proposal strategy meetings with the sales lead, solutions lead, and other SMEs to establish a clear strategy.
  • Content Management: Manage and follow-up with content contributors/SMEs, ensuring content quality and consistency throughout the proposal.
  • Proposal Review: Review and critique content as it is produced, ensuring the overall document tells a consistent and clear story.
  • Content Library: Identify new content that may be reusable via the team’s Sharepoint library after a proposal had been submitted.


Requirements:

  • Overall Experience: Minimum of four years’ experience in proposals, ideally in Business Process Management (BPM).
  • Technical Experience and Knowledge: Minimum of four year’ experience in supporting contact center transformation initiatives like RPA, CCaaS, AI/ML, and familiarity with technologies such as AWS (Amazon Connect), Genesys, NICE, Five9, Talkdesk, Google CCAI, GCP, Microsoft Digital CC, and Twilio.
  • CRM Familiarity: Familiar with CRMs like Salesforce, PEGA, SAP, Microsoft Dynamics, Zoho, Zendesk, etc.
  • Sector Experience: Experience working on RFPs in BPO for sectors like BFSI, FSS, Credit Unions, Telecoms, Public Sector, Consumer Goods, and Manufacturing.
  • Strategic Understanding: Clear understanding of strategic proposal management processes, including qualification, pre-proposal planning, strategy development, and storyboarding, as well as overall proposal project management.
  • Facilitation Skills: Excellent facilitation skills, able to build and motivate proposal teams, generate creativity, and act as an effective “devil’s advocate.” Understand and use a range of effective facilitation techniques.
  • Credibility and Rapport: Able to quickly establish credibility and rapport with the Sales team, the Solutions team, and the various SMEs.


Project Management: Strong project management skill set and mindset; able to manage teams and projects under tight time pressure.
