We cater to various ports along the east coast of India, including Paradip, Gangavarm, Visakhapatnam, Kakinada, Krishnapatnam, Chennai, Tuticorin, Kandla, Mundra , Hazira, Pipavav, JNPT, and Mumbai. Our services include ship stores supply, ship chandelling, marine lubricants, paints, chemicals, bunker supplies, underwater services, maintenance repairs, inspection services and offshore and port logistics- Heavy Equipment - Cranes DG Sets Compressors Rentals , Tug Boats , Barges and Utility Vessels Chartering for project specific needs.


Role Description

This is a full-time on-site role for an Office Admin at PROGRESSIVE OFFSHORE AND MARINE SERVICES in East Godavari. The Office Administrator will be responsible for performing various administrative tasks to ensure smooth office operations. These tasks may include providing administrative assistance, managing office equipment, communicating with clients and stakeholders, providing customer service, and handling general office administration duties.


Supports company operations by maintaining office systems.

Interact with Shipping/ Vessel Agents for getting data related to schedules, agency and consolidated planning for material delivery.

Monitor the delivery of stores to a vessel or Project sites -Rental Equipment Business deliveries

Ship Repairs - On Site Maintenance- Requirements and report to buyer/ client on missed deliveries for reworking / rearrangement as applicable.


Quotations - PO's Preparations -Promptly send quotations to clients and closely follow up on all the quotations sent out and maintains Sales Enquiry Register


Supporting and working closely with Accountants' and Office Asst;s for invoicing and Delivery or Material Dispatch- Documentation.


Supporting Accounts department in maintaining receivables from credit accounts within agreed terms and follow-ups on the payments.


Local Transportations: Coordinate and arrange local transportation to ensure seamless movement of goods to and from suppliers or clients.

Coordination with customers, clients- responding on emails.


Capitalize on sales leads to convert them into business- Actively pass on sales lead to Sales teams and supervisor.

Familiar with basic accounting system/ Tally Prime .

HSN Coding Systems - proper classification of goods.

IGST: Familiarity with Shipping Bills , Bill of Entry's , Customs Duty (CD) and Integrated Goods and Services Tax (IGST) for accurate financial planning and compliance.


Qualifications


Education UG: Any Graduate or Technical Diploma in Engineering , PG: Any Postgraduate

Similar Experience Minimum 2 to 3 years with in Marine -Shipping -Logistics - Industrial Eng co preferable

Preference will be given for the local ones.

On site Job @ our office -Kakinada. Non Remote


Documentation Skills :

EXIM Documentation: Prepare, review, and maintain all necessary export and import documentation, adhering to regulatory requirements.

Prepare weekly sales - site visit plans reports and enter details of visits into CRM system Target and secure new clients.


Computer Skills :

MS Office Proficiency: Utilize Microsoft Office tools, including Word and PowerPoint, to create reports, presentations, and other documentation as required.


Preferred candidate profile

A right candidate should have 2-5 years of experience preferably in Shipping - logistics- Ship Repairing -Ship Management Co -Marine Operations - Freight Forwarding (Air / Sea / Land) industry. Someone with similar work experience in a shipping / marine background will be preferred.

Having excellent/complete knowledge of documentation and basic accounting experience and knowledge.

Having good communication skills- Fluent / Able to speak English - Hindi - Telugu.

Having good working skills on computer. Knowledge or skills on Digital marketing, B2B leads.

Ability to work independently with minimal supervision.

Proficiency in using office equipment

Strong organizational and multitasking abilities

Attention to detail and problem-solving skills
