The Admin and Finance Support Manager oversees administrative functions and provides support to various departments within the organization. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively. The Admin and Support Manager ensures smooth operations and assists internal staff and external stakeholders.


Key Responsibilities:


Administrative Management:

  • Identify areas for process improvement and efficiency enhancement, driving initiatives to streamline administrative workflows.
  • Collaborate with senior leadership to integrate administrative strategies with broader organizational strategies.
  • Develop and implement administrative procedures and policies to streamline operations.
  • Oversee office supplies and equipment procurement, ensuring adequate stock levels and timely maintenance.
  • Coordinate office facilities management, including maintenance, repairs, and security.
  • Manage office budgets and expenses, ensuring cost-effectiveness and adherence to financial guidelines.
  • Team Support:
  • Provide administrative support to various departments, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Serve as a point of contact for internal staff regarding administrative inquiries and support needs.
  • Facilitate communication between departments and ensure efficient flow of information.


Stakeholder Engagement:

  • Serve as a primary point of contact for internal stakeholders, addressing administrative needs and concerns.
  • Collaborate with cross-functional teams to support organizational initiatives and projects.
  • Build and maintain relationships with external partners, vendors, and service providers.


Human Resources and Finance Support:

  • Maintain employee records and ensure compliance with HR policies and procedures.
  • Coordinate employee training and development programs as needed.
  • Must have knowledge of India GST reporting
  • Reconciliation accounts and managed financial transactions.
  • Cashflow forecast and controlling
  • Staff expense claim processing
  • Support monthly closing
  • Excellent understanding of MS Office, including Excel functions like Lookup & Pivot.
  • Maintains accounting controls by preparing and recommending policies and procedures.
  • Maintains financial security by following internal controls.
  • Investigate and resolve discrepancies in financial records.


Project Coordination:

  • Support project managers with administrative tasks, such as scheduling meetings, tracking project milestones, and preparing documentation.
  • Assist in coordinating cross-functional project teams, ensuring effective communication and collaboration.


Legal and Compliance coordination:

  • Ensure compliance with company policies, procedures, and regulatory requirements.
  • Stay informed about relevant laws and regulations impacting administrative functions and implement necessary changes to ensure compliance.


Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field.
  • Proven experience in administrative roles, with at least [8 years].
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal abilities, with a customer-focused approach.
  • Proficiency in office software applications (e.g., Microsoft Office Suite) and familiarity with administrative systems and tools.
  • Ability to work independently and as part of a team, demonstrating independence and initiative.
