Job Summary:

The Head of Administration is responsible for overseeing and managing the administrative functions of the organization. This role includes ensuring efficient office operations, managing support staff, coordinating facilities and maintenance, and providing administrative support to various departments. The Administration Manager will play a crucial role in maintaining a productive and well-organized work environment.

Key Responsibilities:

1. Office Management:

- Oversee day-to-day office operations to ensure efficiency and productivity.

- Manage office supplies, equipment, and inventory, ensuring timely replenishment and maintenance.

- Develop and implement office policies and procedures to improve operations and efficiency.

2. Staff Management:

- Supervise and support administrative staff, including receptionists, clerks, and office assistants.

- Conduct performance evaluations, provide coaching and development c. opportunities, and address any performance issues.

- Coordinate and manage staff schedules, ensuring adequate coverage for all administrative functions.

3. Facilities Management:

- Oversee the maintenance and management of office facilities, ensuring a safe and comfortable working environment.

- Coordinate with external vendors and service providers for office maintenance, repairs, and upgrades.

- Ensure compliance with health and safety regulations.

4. Administrative Support:

- Provide administrative support to senior management and other departments as needed.

- Coordinate meetings, conferences, and company events, including logistics and catering arrangements.

- Manage travel arrangements and itineraries for staff and executives.

5. Budget and Financial Management:

- Assist in the preparation and monitoring of the administrative budget.

- Manage expenses and ensure cost-effective use of resources.

- Review and approve invoices and purchase orders related to administrative expenses.

6. Record Keeping and Reporting:

- Maintain accurate and organized records of administrative activities, including correspondence, contracts, and other documents.

- Prepare and present regular reports on office operations, expenses, and other administrative matters.

- Ensure confidentiality and security of sensitive information.

7 . Vendor and Contract Management:

- Negotiate and manage contracts with office suppliers, service providers, and vendors.

- Monitor vendor performance and ensure adherence to service agreements.

- Evaluate and recommend improvements to vendor relationships and contract terms.

8. Compliance and Policy Management:

- Ensure compliance with company policies and procedures.

- Develop and implement administrative policies and ensure staff adherence.

- Stay updated on relevant regulations and best practices in office management and administration.
