Position Overview:
As a Customer Service Coordinator, you will be the central point of contact for all customer support communications, ensuring a seamless and positive experience for our global clients. You will coordinate between customers, internal technical teams, manufacturing, and sales to schedule support sessions, manage departmental logistics, and ensure timely resolution of service requests. Your proactive organization, exceptional communication skills, and flexibility will be critical in delivering a world-class support experience.
Key Responsibilities:
- Customer Support Coordination: Serve as the first point of contact for reported customer issues, ensuring prompt acknowledgment, clear communication, and resolution follow-up.
- Scheduling & Logistics: Coordinate online technical support sessions and on-site service visits by managing team calendars, aligning availability, and confirming appointments with customers.
- Internal Communication: Liaise with manufacturing, sales, and technical service teams to relay customer needs, ensure resource availability, and maintain consistent service quality.
- Customer Communication: Maintain high standards of written and verbal communication with customers, providing timely updates and ensuring satisfaction at every touchpoint.
- Travel & Shipping: Support travel bookings and shipment coordination for service engineers and critical parts to minimize service delays.
- Reporting: Prepare and share weekly department status reports with management, highlighting KPIs, open cases, and escalations.
- Process Improvement: Continuously identify ways to streamline support processes and enhance the customer service experience.
Requirements:
- Experience: Minimum 3 years of experience in customer service coordination, support operations, or a similar administrative support role.
- Communication Skills: Outstanding written and spoken English skills are a must; clarity, professionalism, and empathy in communication are essential.
- Organizational Skills: Ability to manage multiple schedules, shifting priorities, and cross-functional coordination with precision and reliability.
- Tech Savvy: Comfortable using CRM systems, scheduling tools, and collaborative platforms like Google Workspace or Microsoft Office.
- Global Flexibility: Willingness to work across varied time zones to support international customers and global teams.
Preferred Qualifications:
- Education: Bachelor's degree in Business Administration, Communications, or a related field.
- Experience: Prior experience in customer-facing roles in a technology, engineering, or manufacturing environment is a plus.
- Tools & Platforms: Familiarity with ticketing systems (e.g., HubSpot, Zendesk, Freshdesk), logistics management tools, and reporting dashboards.
