The Scheduling Coordinator's main responsibility is to manage the scheduling of movie and TV assets from receipt from the supplier through to preparation of the planner and ingest into the Vubiquity CMS.


What will your job look like?:

  • Management of schedules to allow content, metadata, image and related asset files to be published via Vubiquity's CMS in line with deadlines set and restrictions laid down by client platforms
  • Liaising with internal Planning, Media Services, Media Ingest and Editorial teams on scheduling, trafficking, delivery and processing of media and metadata files
  • To remedy faults and issues where appropriate, including reacting to incidents when and as they occur through to resolution
  • To communicate with suppliers and clients' operations departments on delivery queries in a professional manner
  • Excellent spoken and written language skills as required by region
  • To carry out ad hoc tasks when requested by the Client Serivices Team Lead, Supervisor or Manager

Primary Activities and KPIs

  • The role is measured by how well the Scheduling Coordinator's responsibilities are completed whilst working to a deadline. Also, by how well the person works independently and as a team member as well as with other departments
  • Deliverables are scheduling content on time for publishing, escalating issues, communicating with suppliers, clients, internal team and departments The core activities of this role are split 65% operational (scheduling tasks) 35% administration (supplier and client communication, meetings, reporting)

High degree of computer literacy, with an aptitude for learning new technology and software
The ability to react quickly and constructively in order to troubleshoot problems
Excellent written and verbal communication skills
Effective time management and multi-tasking skills
Ability to work well under pressure
Ability to make clear decisions and communicate and document decisions made clearly
Ability to work on own initiative and proactively prevent problems from occurring
Ability to work independently and as part of the team
Excellent communication and interpersonal skills
Meticulous attention to detail
Experience of working to deadlines, often with a tight turnaround period
Some understanding of digital media technologies (preferably VOD) including, encoding standards and tools, automated quality control tools
Excellent written and spoken language skills in both English and the language required by territory (if needed)
