Job Summary
  • KEY TASKS AND RESPONSIBILITIES
  • Safety
    • Ensure the office is safe and hazard-free, including Covid safety measures
    • Organize regular Safety Meetings
    • Maintain a clean, uncluttered, and safe office environment
  • Office Management & Efficiency
    • Maintain and handle all administrative tasks promptly and efficiently, including
      • Processing payments for trade associations, newsletters, and memberships
      • Managing Annual Maintenance Contracts (Negotiations, Service & Payments)
      • Handling shipments, materials, and parcels sent by courier or hand
  • IT & Telecom Support & Coordination
    • Ensure smooth operations of all communication hardware and services for the office, team, and visitors
      • Coordinate with respective departments and service providers for seamless operations
  • Sales Support
    • Provide support for logistics in sales matters when required
    • Coordinate Customer Days with managers, site teams, and communications for successful events
  • Communications
    • Act as the Communication Correspondent Representative for the office and sales activities
    • Manage exhibitions and customer events nationally
    • Negotiate contracts with venues, vendors, and service providers, managing budgets effectively
    • Organize internal events, meetings, or conferences and manage relevant materials
    • Assist with local communications activities in line with guidelines
    • Conduct post-show assessments after Tradeshows
  • Travel Management
    • Organize travel arrangements including flights, trains, visas, hotels, etc., for the team and visitors
  • JOB SPECIFICATIONS
    • Bachelor's Degree in Business Administration or related field
    • 8-10 years' experience in office management
    • Proficiency in Google Suite (Docs, Slides, Sheets)
    • Strong planning and organizational skills
    • Excellent verbal and written communication skills
    • Proficient in English
    • Effective time management and multitasking abilities
    • Experience in event management is a bonus
    • Ability to supervise teams
