Overview / Responsibilities:
Wood is currently recruiting for an Executive Administration with extensive experience in the relevent industry and field.

  • Assisting Facility Manager to ensure office safety is maintained at the highest level.
  • To monitor and supervise the Security Services and regularly monitor the performance of all security personnel to ensure that the overall security arrangements are being satisfactorily met at all times. To Manage the Gate Pass system strictly.
  • Supervise the work activities of Housekeeping to ensure that the general hygiene & cleanliness within the office and its toilets are never compromised. Ensuring recycling of used paper. Oversees the Pest Control & Sanitisation services and ensure that the same is routinely carried out. Also, supervise the work activities of Office Boys and ensure meeting rooms are always maintained.
  • Oversees operation and maintenance of admin related electrical installations through qualified electrician and ensure that the safety instructions towards electrical jobs are never compromised. Ensure preventive maintenance of all and miscellaneous electrical equipment are routinely carried out.
  • Ensuring all electricians are familiar with the office environmental requirement as per Company policy and temperature records for all critical rooms are maintained and immediate corrective actions are taken as and when required basis.
  • Oversees office Canteen services and to maintain relevant records.
  • Maintain tracker of Facilities Management related services, Purchase Order, Service Order, Annual Maintenance Contract (AMC) etc. and timely update those including the date of expiry.
  • Timely raising of 'PR' i.e. _purchase requisition _for both Facilities Management related opex and capex items including renewal of services & AMCs.
  • Oversees timely repairs and maintenance (both breakdown and preventive) of all the Facilities Management related items & installations.
  • To maintain stock of office Assets & Non-Assets and conduct periodic physical verification.
  • To ensure office Safety and Sustainability is maintained at the highest level always. To take immediate preventive and corrective action as and when required. To ensure No Deviation from Company Policies & procedures.
  • To maintain sufficient stock of drinking water (jar) and optimum level of different types of Stationeries, Sanitary items, and other office supplies to ensure that the projects are never adversely affected.
  • Ensure optimum stock of paper and refreshment consumables (like tea, coffee, premixes, biscuits etc.) are maintained at all times.
  • To coordinate with the transport vendor and manage transport requirement and see that the papers of the vehicle like PUC, RC, insurance, road tax, driver's license etc. are all valid and updated and records are maintained.
  • To familiar with Access Control System and timely activation / deactivation of Access cards.
  • To prepare MIR as applicable.
  • To maintain Petty cash expenses and maintaining proper records.
  • To provide training to Security, Housekeeping, Office Boy & Electrician personnel periodically and ensure that the standard level of efficiency is maintained at all time.
  • Assist the senior departmental personnel at all times for the Company specific sporadic jobs or activities which cannot be predetermined in advance.
  • To accept without qualification the other duties as may be assigned from time to time and demonstrate the capability of assuming increasing responsibility, with open mindness.

Skills / Qualifications:

  • A Graduate degree in any discipline
  • Computer Knowledge with MS Word, Excel & Power Point.
  • 510 years Relevant experience
  • Well Conversant with Outlook
  • Knowledge on Office Safety and related Audits.
