Job Description Summary:
Responsible for the overall management of assigned property to satisfy the requirements of the ownership and tenants, to preserve and increase the value and integrity of the properties and to meet the financial objectives of the ownership and management with a very customer centric approach

Primary Job responsibilities:

  • On assigned properties, act as the company's primary coordinator with the ownership to assure that the company's efforts fully meet and exceed contractual property management obligations. Direct the daytoday activities of loss prevention, risk management, safety/security, maintenance, , landscaping, and client buildout.
  • Develop operating income/expense budgets and capital budgets that reflect the objectives for operating the property, and cash flow requirements. Further accountability includes administration of budgets, operational review, and analysis of corrective action needed. Recommend and implement programs that contribute to profitability.
  • Verify CAM costs documentation and prepares center information sheets detailing annual estimated CAM costs.
  • Administer leases on each project including promptly synopsizing new leases, reviewing all tenant billings, analyzing lease clauses, preparation of vacancy reports, enforcing Client compliance and performing landlord obligations. Identify leasing prospects and occasionally respond to routine leasing inquiries. Interface with leasing representatives/brokers and assist to assure spaces are leased/released promptly.
  • Keep accurate records of current space conditions including roof, HVAC, utilities and special circumstances. At all times keep the space in condition to show.


Maintain complete and accurate property files and records, according to department systems, with an emphasis on documentation for future reference.

Coordinate with headquarters support staff on management company procedures for processing and distributing information. Provide prompt, detailed, and accurate general status reports on all properties assigned.

  • Engage, contractors, supervise and approve invoices for all goods/services required to maintain the properties up to company and CapitaLand standards.
  • Maintenance Housekeeping and Physical Security
  • Responsible for the overall upkeep of the Property
  • Monitors and completes the maintenance and repairs timeously and costeffectively.
  • Ensures security of premises, Security manpower and maintains security devices with necessary records.
  • Implement preventative maintenance programs for all equipment in the Park.
  • Oversee capital improvement projects and have capital budgets spent within timelines and avoid spillage.
  • Manages thirdparty contracts and oversees all Annual maintenance contracts.
  • Develop a network of emergency services and be available for 24 hours per weekend coverage as required. Supervise onsite Security services and other Contract services, if utilized at assigned properties. Develop specifications and continually evaluate service needs and performance in all areas of contract management. Forecast and manage replacement of major capital expense items including HVAC systems, roof systems, parking lot surfaces, etc.
  • Develop annual operating budgets and provides fiscal direction to the unit planning and accomplish operations targets. In addition to the abovementioned duties and job functions, any other assignments.
  • Manage Client relations and coordinate requests for repairs and maintenance, understanding of rent charges, lease issues and other Client concerns. Assist in managing Client "fitup" work, as needed or assigned. Liaison with other disciplines/departments within the company to provide a team approach to the management of real estate.
Keep abreast of new technologies, systems and procedures related to property management.

  • Makes periodic inspections of the office building(s) and equipment to determine if janitorial, security and other services are adequate and whether repair work is needed; reviews safety and security equipment and procedures for adequacy.
  • Assigns and reviews work of subordinates, gives instructions, maintains discipline and resolves difficult buildings and grounds maintenance and security/safety problems. Innovate, suggest and implement energy management ideas.
  • Oversees the inventory, rental, repair and maintenance of office equipment. Review with Client coordinator regarding various maintenance issue & improvement of building system.
  • Analyse/ recommend solution on the complaint analysis. Maintains compliance with departmental security, audit procedures, and Client management policy. Manage the office services needed to support department operations.
  • Establish and maintain essential records and files in Coordination with local authorities. Supervises the staff involved in performing the functions of the assigned units.
  • Develops and establishes policies and objectives consistent with those of the organization to ensure efficient and safe operation. Responsible for overall upkeep of the site to high standards of operations, maintenance, and cleanliness.
  • Ensure all safety guidelines/ requirements are adhered to by team members/vendors. Maintain discipline and quality of work by all staff. Organize and coordinate formal monthly meetings with Client and vendors. Conduct monthly reviews individually with the various support teams, soft services etc. Coordinating for payments of the site contractors and sub vendors. Oversees activities of contractors, vendor personnel, and suppliers.
  • Monitors contracts for compliance and controls costs; monitors general expenditures of unit; performs quality control inspections to ensure adherence to contract specifications and industry standards.
