Job Overview:

Role Summary

The Procurement Contracts Administrator is responsible for development and implementation of innovative and sustainable procurement guidelines, procedures, and policy.

The Procurement Contracts Administrator reviews all aspects of the procurement process and provide on-going monitoring as required by the team.

The specialist develops and maintains close working relationships and acts as the liaison between internal and external departments.

Responsibilities:

  • Manage procurement contract intake; oversee the shared inbox for requests from business owners
  • Create pending records in contract management system
  • Coordinate, send and route for internal reviews and approvals as per company policies and guidelines
  • Manage contract renewals; communicate with business owners for all expiring and renewing contracts
  • Generate report from contract management system for day expiring contracts and autorenewing contracts
  • Host meetings with specific internal groups to review the report
  • Send termination notices, as applicable
  • Coordinate renewals process including kickoff and internal reviews and approvals
  • Understand and adhere to company policies, in accordance with DOA
  • Meet internal SLAs to ensure timely contract lifecycle management
  • Act as liaison between various departments to ensure compliance to procurement strategies, processes, policies, and best practices
  • Assist suppliers in proper invoicing procedures
  • Manage a strict timeline for deliverables

Skills:

  • A minimum of 5 years' experience in a procurement function
  • Superior Microsoft Excel and PowerPoint skills
  • Ability to work effectively within deadlines in a fastpaced, growing environment
  • Strong organizational skills with attention to detail and followup
  • Excellent verbal, written, and interpersonal skills
  • Ability to drive change and improve endtoend processes
  • Ability to interact with employees at all levels, develop cooperative working partnerships and contribute to teams
  • Proven ability to handle highly visible, complex procurements and effectively communicate goals/objectives to peers or upper management
  • Able to prioritize and use available tools to be highly productive and manage high volumes
  • Proficiency with procurement tools preferred
