Job Overview
We are looking for a Front Office Coordinator to join our team in Chennai. This is a full-time, junior-level position suitable for professionals with 1 to 3 years of experience. The Front Office Coordinator will be essential in managing front office operations and ensuring a smooth office workflow. Candidates with a focus on verbal communication and appointment scheduling are highly preferred.
Qualifications and Skills
- Proficiency in Microsoft Office Suite is essential for creating documents, spreadsheets, and presentations efficiently.
- Experience with customer relationship management software to maintain and update client records and interactions.
- Familiarity with multi-line phone systems for effective handling of incoming and outgoing calls.
- Strong organizational skills to manage various administrative tasks and office logistics seamlessly.
- Appointment Scheduling is crucial for managing calendars and setting up meetings.
- Verbal Communication to interact professionally with clients and colleagues.
- Exceptional time management skills for prioritizing tasks and meeting deadlines.
- A problem-solving attitude to address and resolve office-related issues promptly and efficiently.
- Hindi speaking is mandatory
Roles and Responsibilities
- Serve as the first point of contact for clients and visitors, ensuring a welcoming and professional environment.
- Manage the front office area, including maintaining office supplies and coordinating mail distribution.
- Schedule and confirm appointments and meetings for staff and clients efficiently.
- Answer and manage multi-line phone calls, directing calls to appropriate personnel or department.
- Assist in the coordination of office events and meetings, including preparation and follow-ups.
- Maintain and manage client databases using customer relationship management software.
- Ensure office systems are maintained and problems are resolved swiftly to ensure a smooth office operation.
- Support administrative tasks as required, contributing to the overall efficiency and effectiveness of the office.
