Position Title: Front Office Executive/Receptionist

About the Role
We are looking for a friendly and professional Front Office Executive/Receptionist to serve as the first point of contact for our higher education institution. The ideal candidate will manage front desk operations, provide excellent customer service, and ensure smooth communication within the institution.
Key Responsibilities
- Reception Management:
- Greet visitors, students, faculty, and staff in a courteous and professional manner.
- Answer phone calls, emails, and inquiries promptly and direct them to the appropriate departments.
- Manage the front desk area to ensure it remains organized and welcoming.
- Administrative Support:
- Assist with scheduling appointments and maintaining meeting room bookings.
- Maintain accurate records, logs, and reports related to visitor and call management.
- Handle incoming and outgoing correspondence, including mail and courier services.
- Student and Visitor Assistance:
- Provide information about admission procedures, courses, and general institutional policies.
- Help students and visitors with queries and guide them to the relevant offices or staff members.
- Event Coordination:
- Assist in coordinating on-campus events, meetings, and other activities as required.
- Ensure the reception area is prepared for special events or guest visits.
- Compliance and Security:
- Maintain visitor logs and issue passes as required.
- Ensure adherence to institutional protocols for campus safety and security.
- Inventory Management:
- Monitor and order office supplies for the front desk area.
- Ensure the reception area has necessary brochures, forms, and promotional materials available.
Requirements
Qualifications and Skills
Proven experience in a front office, receptionist, or customer service role.
Excellent verbal and written communication skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment operation.
Strong organizational and multitasking abilities.
Professional appearance
Ability to maintain confidentiality and handle sensitive information.
Customer-focused attitude with a friendly and approachable personality.
Preferred Qualifications
Familiarity with student management systems or CRM software.
Knowledge of multiple languages is an advantage.
