Job Overview
We are seeking a dedicated Travel Desk Executive to join our team in Mumbai. This full-time, mid-level position requires 4 to 6 years of experience in managing corporate travel needs effectively. The successful candidate will be responsible for coordinating travel arrangements, including ticketing, complying with travel policies, and managing visa documentation to ensure timely and efficient travel processes.
Qualifications and Skills
- Proven expertise in corporate travel coordination, ensuring precise scheduling and efficient handling of all travel-related arrangements.
- Extensive experience in airline ticketing to facilitate seamless travel for employees, with a focus on cost-effectiveness and convenience.
- Strong ability to accurately prepare and process travel expense reporting, adhering to company policies and ensuring financial accountability.
- In-depth understanding of travel policy compliance, guiding employees to adhere to organizational standards and guidelines.
- Experience with forex management, ensuring the accurate and timely handling of foreign exchange requirements.
- Proficient in visa documentation and processing, ensuring all necessary travel documents are prepared and submitted promptly.
- Excellent communication skills to maintain clear and consistent dialogue with stakeholders regarding travel arrangements and requirements.
- Ability to work independently and manage multiple tasks simultaneously, ensuring effective problem-solving and decision-making.
Roles and Responsibilities
- Coordinate and book domestic and international travel arrangements, including flights, accommodation, and transportation.
- Ensure compliance with company travel policies and budgets while optimizing the travel experience for employees.
- Manage visa and passport applications, ensuring timely submissions and follow-ups with relevant authorities.
- Handle travel-related queries and provide assistance, ensuring a smooth travel experience for all staff members.
- Prepare and manage travel expense reports, reconciling with budgets and ensuring timely reimbursements.
- Arrange for currency exchange and manage forex transactions as necessary for international travel.
- Maintain updated travel records and documentation for all managed trips, ensuring easy access to necessary information.
- Liaise with travel service providers to negotiate rates and ensure quality service for all trips arranged through the company.
