About the RoleWe're looking for a highly motivated and detail-oriented Executive Assistant (Operations) to join our team. This isn't a traditional EA role focused on scheduling and travel. Instead, you'll be the central force that keeps our company's operations running smoothly.
You will act as the right hand to the Managing Director, focusing on the tactical execution and operational efficiency of key initiatives. You'll work cross-functionally to ensure all teams are aligned and all operational tasks are completed effectively and on time. This role is perfect for a sharp, organized individual who enjoys solving problems and driving projects to completion.
- Project Management: Take ownership of various operational projects from conception to completion. This includes defining project scope, setting deadlines, coordinating with stakeholders, and ensuring all milestones are met.
- Operational Oversight: Proactively manage and optimize day-to-day operational workflows. Identify bottlenecks and inefficiencies and propose solutions to streamline processes.
- Cross-Functional Alignment: Serve as the central point of contact for internal communication. Ensure all staff members are aligned with the Managing Director's operational vision and that company-wide initiatives are clearly communicated and executed.
- Data & Reporting: Collect, analyze, and present key operational data and metrics to the Managing Director. Prepare reports and presentations that highlight project progress and operational performance.
- Meeting Preparation: Prepare detailed agendas and materials for key leadership meetings. Document action items and follow up to ensure tasks are completed.
- Administrative Support: While the primary focus is operations, you will also handle critical administrative tasks that directly support the Managing Director's operational effectiveness.
- Education: Bachelor's degree in Engineering is mandatory.
- Experience: 3-5 years of experience in project management, operations, or a similar role requiring cross-functional collaboration and a strong focus on execution.
- Skills:
- Exceptional organizational skills and a meticulous attention to detail.
- Proven ability to manage multiple projects simultaneously and prioritize effectively.
- Strong analytical and problem-solving abilities.
- Excellent communication skills, both written and verbal, with the ability to influence and align diverse teams.
- Proficiency in project management software (e.g., Asana, Trello, Jira) and Microsoft Office Suite (Excel, PowerPoint).
