Job Overview:

You will be the face of the coworking space, engaging with members, addressing their needs, and organising events to enhance the sense of community.


1.    As a Community Associate/ Manager you will be the first point of contact for our clients and visitors.

2.    Your role is crucial in creating a positive and professional impression of our company and ensuring the smooth operation of the front desk area.

3.    You will play a vital role in providing exceptional customer service and administrative support to both our clients and internal team, which will span - welcoming guest, check-ins and registrations, handling booking & visitor management softwares to monitor guest entries

4.    You will work to build a strong sense of community, through on-ground engagement activities, foster positive relationships, and ensure a vibrant and active environment for all our members.


Key Personality Traits

1.    Strong communication skills: Courteous, well-mannered and polished with effective communication is vital in interacting to clients and visitors. English should be fluent. Local languages - Kannada, Tulu and Hindi are equally important and big plus.

1.    Customer focus & client servicing skills: Constant communication with members to ensure that their needs are satisfied. Organising & taking new clients on facilities tours and explaining the essence of our workspaces and productivity enhancements.

2.    Proactive & multitasking abilities: In fast-paced operational settings, quick decision-making is often required. The Community Associate should have the ability to make quick decision under pressure and find practically solutions to keep the show running smoothly.

3.    Ability to handle challenging situations with patience and diplomacy and diffuse any aggressive situations with clients quickly to avoid and brand damage.

 

 

Key Responsibilities:

 

1.    Welcome and Greet: Provide a warm and professional welcome to clients, visitors, and members as they enter the co-working space. Ensure a positive and friendly first impression.

2.    Check-In and Registration: Register new clients and visitors, assist with the onboarding process, and issue access cards or keys as needed.

3.    Customer Service: Address inquiries, provide information about our services, and assist clients and members with their needs, such as booking meeting rooms or resolving any issues.

4.    Events and Networking: Plan and coordinate networking events, workshops, seminars, and social gatherings to enhance the community experience.

5.    Call Handling: Manage incoming phone calls, transfer calls to appropriate team members, take messages, and provide basic information to callers.

6.    Mail and Package Handling: Sort and distribute mail and packages to clients and members. Keep track of incoming and outgoing deliveries.

7.    Booking Management: Assist clients in booking meeting rooms, workspaces, and other facilities. Ensure that reservations are accurately recorded and prepared.

8.    Visitor Management: Maintain a log of visitors, issue visitor badges, and ensure security protocols are followed.

9.    Administrative Support: Assist with administrative tasks such as photocopying, filing, data entry, and maintaining office supplies.

10. Security and Safety: Monitor the reception area for security purposes and report any suspicious activity. Be aware of any unwanted walk-ins or free loaders and report them to security immediately.

11. Maintain Cleanliness: Ensure that the front desk area is neat and tidy, and the common areas are well-maintained and presentable.

12. Client Relations: Build strong relationships with clients, understand their needs, and act as a liaison between clients and the management team.

13. Calendar Management: Assist in managing meeting room calendars, ensuring bookings are accurate and conflicts are resolved promptly.

14. Back up for operations teams : working with operations to ensure that all facilities are safe, clean, and well-maintained and all appointed vendors are performing their duties as per schedules and requirements

 

 

Qualifications:

1.    High school diploma or equivalent; additional education or certifications in customer service or hospitality is a plus.

2.    Previous experience in coworking management, event & hospitality management, customer services or front desk role is preferred.

3.    Excellent communication and interpersonal skills. - to 100% proficient in English, proficiency in local languages - Kannada, Tulu are a big plus 

4.    Strong organisational, multitasking abilities and relationship-building skills.

5.    Proficiency in using office equipment and basic computer software (e.g., Microsoft Office Suite - handling of booking/vendor management suite is a big plus).

6.    Friendly, professional, and a strong commitment to providing exceptional customer service.

7.    Knowledge of the co-working industry and an understanding of the needs and functioning of start-ups and businesses is a big plus.
