We are seeking a diligent and strategic Store and Purchase Manager to ensure the efficient management of our inventory and procurement operations.

Job Overview:

The Store and Purchase Manager will be responsible for overseeing the day-to-day operations of the store and procurement activities, ensuring that all supplies and inventory levels are maintained to support hotel and restaurant operations. The ideal candidate will be detail-oriented and quality-driven, maintaining strict adherence to specifications with no variance in procurement unless alternatives are pre-approved. Cost control will be managed through smarter procurement strategies rather than compromising quality. This role requires strong organizational and negotiation skills, technical proficiency in Excel and MMS software, and the ability to collaborate with multiple departments.

Key Responsibilities:Store Management:
  • Inventory Control: Maintain optimal inventory levels by managing stock records, ensuring accurate records of materials, equipment, and supplies in the hotel.
  • Stock Audits: Conduct regular stock audits and reconciliations to ensure consistency in stock levels and detect any discrepancies or losses.
  • Inventory Optimization: Monitor inventory turnover and recommend adjustments to stock levels to minimize wastage and ensure fresh and usable inventory.
  • Storage & Organization: Oversee the organization of the store, ensuring that items are stored in a safe, accessible, and orderly manner in compliance with health and safety regulations.
  • Stock Replenishment: Work closely with the kitchen, housekeeping, and other departments to ensure timely replenishment of stock as per operational requirements.
Procurement & Purchasing:
  • Strict Adherence to Specifications: Ensure that all procurement is done strictly according to predefined specifications with no variance unless pre-approved by management. Quality standards must be maintained across all purchases.
  • Cost Control through Smart Procurement: Focus on cost control by implementing smarter procurement strategies such as bulk purchasing, negotiating long-term contracts, and sourcing alternative suppliers without compromising on quality.
  • Vendor Management: Source, evaluate, and maintain strong relationships with suppliers and vendors to ensure the best terms and prices for goods and services while ensuring compliance with quality specifications.
  • Purchase Orders: Generate and manage purchase orders based on departmental requirements while ensuring adherence to the hotel's procurement policies.
  • Market Research: Regularly assess market trends and pricing to make informed purchasing decisions and find cost-saving opportunities.
  • Quality Assurance: Ensure that all goods received meet the quality and quantity standards as per purchase orders and contractual agreements.
Compliance & Reporting:
  • Documentation: Maintain accurate records of purchases, receipts, and inventory transactions. Ensure that all documentation is properly filed and accessible.
  • Compliance: Ensure compliance with health, safety, and legal regulations, particularly regarding storage and the handling of perishable goods.
  • Reporting: Prepare and submit regular reports on inventory levels, purchasing activities, vendor performance, and cost analyses to senior management.
Collaboration & Communication:
  • Cross-Departmental Coordination: Collaborate with the kitchen, housekeeping, engineering, and other departments to understand their material needs and align procurement with operational demands.
  • Supplier Relationships: Work closely with suppliers to maintain reliable delivery schedules, resolve issues, and ensure the timely receipt of quality goods.
  • Team Leadership: Supervise and train store assistants or staff involved in procurement and storage, ensuring that they follow proper procedures and maintain high standards of performance.
Technical Efficiency:
  • Proficiency in Excel: Must be proficient in Microsoft Excel to manage inventory tracking, create reports, analyze purchasing data, and optimize inventory levels.
  • MMS Software: Experience in using Materials Management Systems (MMS) or other inventory management software to streamline procurement and store operations, ensuring data accuracy and improved efficiency in tracking stock levels and purchase orders.
Qualifications:
  • Bachelor’s degree in Supply Chain Management, Business Administration, Hospitality Management, or a related field.
  • Proven experience as a Store Manager, Purchase Manager, or similar role, ideally within the hospitality industry.
  • Strong understanding of inventory management and procurement processes.
  • Excellent negotiation, communication, and interpersonal skills.
  • Proficiency in Excel and experience with MMS or other inventory management software.
  • Detail-oriented with a commitment to maintaining consistent quality and strict adherence to specifications.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Knowledge of legal regulations and health and safety standards related to storage and procurement.
  • Ability to work effectively in a fast-paced environment and handle tight deadlines.
