Job Summary:

The Chief of Staff will act as a trusted advisor and strategic partner to the COO, ensuring the effective and efficient operation of the executive office. This role requires a highly organized, proactive, and resourceful individual who can manage a wide range of responsibilities, from overseeing key projects to managing day-to-day operations. The Chief of Staff will play a pivotal role in driving the organization's strategic initiatives, improving internal communication, and facilitating decision-making processes.


Key Responsibilities:

Strategic Support:

  • Serve as a strategic advisor to the COO, providing insights, recommendations, and feedback on key business decisions.
  • Assist in setting and communicating the organization’s strategic priorities and translating them into actionable goals.
  • Drive cross-functional initiatives and ensure alignment across different departments.


Operational Efficiency:

  • Oversee daily operations of the executive office, ensuring smooth workflows and effective time management for the COO.
  • Manage executive calendars, prioritize appointments, and coordinate meetings with key stakeholders.
  • Prepare and review documents, reports, and presentations for executive meetings and board sessions.


Project Management:

  • Lead and manage special projects as directed by the COO, ensuring timely delivery and alignment with strategic goals.
  • Track progress on key initiatives and report on outcomes to the executive team.


Communication:

  • Act as a liaison between the COO and internal/external stakeholders, ensuring clear and effective communication.
  • Draft and edit communications, including emails, speeches, presentations, and reports on behalf of the COO.
  • Facilitate executive team meetings, including setting agendas, capturing meeting minutes, and following up on action items.


Team Leadership:

  • Provide leadership and guidance to teams working on strategic initiatives, fostering a collaborative and high-performance culture.
  • Mentor and develop staff, fostering professional growth and ensuring alignment with organizational goals.


Stakeholder Engagement:

  • Build and maintain relationships with key stakeholders, including board members, investors, partners, and clients.
  • Represent the COO in meetings and events as needed.


Risk Management:

  • Identify potential risks and challenges in the organization’s strategic and operational plans and propose mitigation strategies.
  • Ensure compliance with organizational policies and external regulations.


Education:

  • MBA from Top B School


Experience:

  • Minimum of 2-5 years of experience in a strategic, operational, or leadership role, preferably within a high-growth company.
  • Proven experience in project management, strategy execution, and team leadership.


Skills:

  • Exceptional organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Proficiency in using project management and communication tools (e.g., Asana, Slack, Microsoft Office)
