Executive Assistant to Managing Director

Required work experience & knowledge:
- Proven Experience of 3-6 years of total experience.
- Excellent interpersonal and communication skills and follow ups
- Strong organizational and multitasking skills with the ability to prioritize and manage multiple projects
- Previous experience as an executive assistant, personal assistant, or in a similar capacity is often preferred.
- Proficiency in Microsoft Office suite and other relevant software applicants.
Required Education
Bachelors / Master’s degree with good academics
Essential/ Key Duties and responsibilities
Strategic Planning:
Collaborate with top management to develop and implement administrative strategies aligned with the organization's goals.
Leadership
Oversee and lead administrative staff, providing guidance, training, and support as needed.
Communication:
Act as a liaison between various departments, facilitating effective communication and information flow across the organization.
Problem-solving:
Address operational challenges, troubleshoot issues, and find innovative solutions to enhance administrative processes.
Calendar Management:
Schedule and coordinate meetings, appointments, and travel arrangements for the Managing Director. Manage the MD's calendar, ensuring optimal use of time and prioritizing important tasks.
Relationship Management:
Build and maintain relationships with key stakeholders, both internal and external. Represent the MD in a professional manner in interactions with clients, partners, and colleagues.
Confidentiality:
Handle sensitive information with discretion and maintain confidentiality.
Operational Duties
Communication Coordination:
Facilitate communication within the executive office and across departments. Screen and filter incoming calls and emails for the MD.
Meeting Logistics:
Coordinate meeting logistics, including room reservations, catering, and audio-visual equipment setup.
Time Management:
Assist the MD in managing their time efficiently. Prioritize and schedule tasks to maximize productivity.
Compliance:
Ensure that the executive office operates in compliance with company policies and procedures. Assist in compliance-related tasks as needed.
