Job Summary: The Document Management Specialist is responsible for developing and implementing efficient document management systems within the company. This role involves organizing, storing, and retrieving both digital and physical documents while ensuring compliance with company policies and legal regulations. The specialist will collaborate with various departments to optimize document workflows and improve overall document handling processes.


Key Responsibilities:

  1. Document Organization and Management:
  • Develop and maintain document management systems, ensuring all documents are stored accurately and can be retrieved easily.
  • Classify, index, and tag documents for easy access and retrieval.
  • Ensure documents are regularly updated and archived according to company policies.
  1. System Implementation and Maintenance:
  • Implement and manage document management software and systems.
  • Conduct regular audits of document management systems to ensure they are functioning correctly.
  • Troubleshoot and resolve any issues related to document storage and retrieval systems.
  1. Compliance and Security:
  • Ensure all documents comply with company policies, industry standards, and legal requirements.
  • Implement security measures to protect sensitive information.
  • Manage access control to documents, ensuring only authorized personnel can access certain documents.
  1. Workflow Optimization:
  • Analyze and improve document workflows to enhance efficiency and productivity.
  • Train staff on best practices for document management and use of document management systems.
  • Develop and update document management policies and procedures.
  1. Collaboration and Support:
  • Work with IT and other departments to integrate document management systems with other company systems.
  • Provide support and training to employees on document management practices.
  • Assist in the preparation of documents for audits and inspections.

Qualifications:

  • Bachelor’s degree in Information Technology, Business Administration, Library Science, or a related field.
  • Proven experience in document management, records management, or a related role.
  • Familiarity with document management systems (e.g., SharePoint, DocuWare, M-Files).
  • Strong understanding of data protection and confidentiality principles.
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and problem-solving abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.

Preferred Skills:

  • Certification in Document Management (e.g., Certified Document Imaging Architect - CDIA).
  • Experience in a similar role within an IT company.
  • Knowledge of project management principles and practices.
  • Familiarity with digital transformation initiatives and strategies.

Working Conditions:

  • Typically works in an office environment.
  • May require occasional travel to other company sites or for training purposes.
  • Standard full-time working hours with the possibility of overtime during peak periods or special projects.

Salary Range:

  • The salary for a Document Management Specialist can vary widely based on location, experience, and the size of the company. Generally, the range is between $50,000 to $80,000 annually.
