The firm was founded by a seasoned investment professional with several years of experience conducting detailed financial and investment due-diligence along with investigative research for international alternative investment and M&A advisory firms. The firm recently secured backing from a US based family office and is looking to scale rapidly over the near future.


We are seeking a highly organized, resourceful, and proactive Executive Assistant (EA) to support the Founder. As the EA, you will play a pivotal role in enabling the Founder to operate at peak efficiency by managing administrative, strategic, and personal tasks. This role requires a confident professional who can operate independently, anticipate needs, and thrive in a fast-paced, high-growth environment.


Key Responsibilities


Executive Support

  • Manage and optimize the Founder’s calendar, ensuring seamless scheduling and prioritization.
  • Handle email correspondence, drafting responses and flagging urgent matters.
  • Proactively anticipate and manage the Founder’s daily workflow and time management.
  • Coordinate and manage travel plans, itineraries, and logistics for business and personal travel.
  • Act as a gatekeeper and liaison to internal/external stakeholders, ensuring clear and timely communication.


Strategic & Operational Support

  • Assist with special projects such as hiring/BD, research, and creating presentations.
  • Support deal flow management by organizing calls, managing investor, client, or partner relationships.
  • Help track and prioritize tasks, ensuring deadlines and objectives are met.
  • Conduct research on relevant markets, competitors, and opportunities as needed.


Administrative & Personal Support

  • Manage expense reports, invoices, and other administrative tasks.
  • Handle personal/family errands, scheduling, investment related tasks to free up Founder’s focus.
  • Support event planning, such as team offsites, or networking dinners.
  • Maintain confidentiality and discretion with all sensitive information.


Skills & Qualifications


  • 6 months+ experience supporting senior executives.
  • Exceptional organizational and time management skills with acute attention to detail.
  • Ability to prioritize, multi-task, and make sound decisions in fast-paced environments.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office, Google Workspace, and tools like Slack, Zoom, and CRMs.
  • Adept at managing confidential and high-stakes information with discretion.
  • Exceptional problem-solving and proactive anticipation skills.
  • Ability to work independently and adapt to shifting priorities.


Preferred

  • Experience working in a startup or entrepreneurial environment.
  • Familiarity with use of platforms such as teams, outlook, calendly etc.
  • Familiarity with financial processes (e.g., managing invoices, budgeting).
  • Strong professional network to facilitate introductions and external coordination.
