Executive Assistant to Founder and CEO

Role Overview:
aSaw is seeking a highly organized and proactive Executive Assistant with a strong focus on administrative support to provide comprehensive assistance to our Founder and CEO and oversee essential HR and administrative functions. The ideal candidate must have 5-7 years of experience in an executive or HR/admin role, with a background in the IT B2B sector preferred. This role requires excellent multitasking abilities, communication skills, and discretion in handling confidential information, as well as the ability to ensure efficient daily operations and a positive experience for employees and partners.
Responsibilities:
Executive Support:
- Calendar and Meeting Management: Manage the CEO's calendars, schedule meetings, and coordinate events to optimize time utilization. Additionally, take minutes during meetings and ensure accurate records of discussions and action items.- Travel Coordination: Organize domestic and international travel arrangements, including flights, accommodations, itineraries, and expense reports.- Communication and Document Management: Handle communications, draft emails, and prepare presentations or reports as needed. Proofread and organize executive documents, reports, and other materials.
HR and Administrative Support:
- Documentation Management: Oversee company documentation, including client contracts, vendor agreements, compliance records, and employee records, ensuring organized and compliant record-keeping.- HR Policy Implementation: Support the implementation and refinement of HR policies, procedures, and compliance practices, ensuring alignment with industry standards and legal requirements.- Office Operations Oversight: Oversee daily office operations and ensure a well-organized work environment.- Billing and Invoicing Support: Collaborate with the finance team to assist with billing, invoicing, and expense tracking.
Project and Office Management:
- Project Coordination: Assist with various projects and ad hoc tasks, ensuring deadlines are met and details are managed carefully.- Confidentiality and Discretion: Handle sensitive information with integrity, maintaining a high level of professionalism and confidentiality.
Qualifications & Skills:
1. Experience: 5-7 years of experience working as an Executive Assistant with top management executives administrative roles2. Education: Bachelor’s or Master’s degree in Business Administration, Human Resources, or a related field.3. Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools4. Core Competencies:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High attention to detail and problem-solving skills.
- Ability to handle confidential information with discretion.
- Familiarity with HR best practices and legal compliance, particularly in the IT/B2B sector.
