Position Title: Junior Project Coordinator


Job Description:

The Junior Project Coordinator plays a pivotal role in supporting project management activities within Ultimate Success. This position is ideal for individuals looking to gain experience in project management and develop foundational skills in planning, organizing, and executing projects. The Junior Project Coordinator works closely with project managers, team members, and stakeholders to ensure project objectives are met within established timelines and budgets. Key responsibilities include assisting in project planning, monitoring project progress, facilitating communication among team members, and documenting project activities.


Responsibilities:


1. Event Coordination/Assistance: Provide support in coordinating various events such as VOC (Voice of the Customer), CAB (Customer Advisory Board), and Summit. Assist in logistics, scheduling, and ensuring smooth execution.


2. Account Transition Investigation: Conduct investigations related to account transitions, gathering necessary information, and coordinating with relevant stakeholders to ensure seamless transitions.


3. QBR Prep and Tracking: Assist in preparing for Quarterly Business Reviews (QBRs) by gathering data, coordinating presentations, and tracking progress. Ensure timely completion of QBR-related tasks.


4. Enablement Cross Functional Coordination: Coordinate activities related to cross-functional enablement initiatives. Facilitate communication and collaboration among different teams to ensure alignment and effectiveness.


5. Workfront Updates for Work Streams: Maintain and update Workday with relevant information pertaining to work streams. Ensure data integrity and accuracy.


6. Project and Deliverable Intake Process: Assist in managing the intake process for projects and deliverables. Review requests, follow up on missing information, and conduct initial interviews for context.


7. Global Renewal Rate and TAM Mapping: Collaborate in mapping Total Addressable Market (TAM) and tracking global renewal rates. Provide insights and analysis to support decision-making.



Direct Work Stream Support:


- Update Assistance - Internal Comms Alignment: Provide assistance in aligning internal communications within work streams. Ensure consistency and clarity in messaging.


- Assisting in Project Planning: Collaborate with project managers to develop project plans, timelines, and milestones. Help identify project requirements, resources, and constraints. Assist in creating project documentation such as charters, schedules, and risk registers.


- Deliverable Specific (Non-Project Level): Support specific deliverables within work streams. Track progress, identify risks, and document findings.


- Cross Functional Deliverable Dependency Tracking: Track dependencies among deliverables across different projects or work streams. Assess risks and impacts.


- Business Support: meetings, etc.


Program Level Support:


- Pre-Project Discovery: Assist in the initial stages of project discovery. Review intake requests, follow up on missing information, and conduct preliminary interviews for context gathering.


- Coordination of Wiki Updates: Coordinate updates to internal Wiki documentation. Ensure accuracy, relevance, and accessibility of information.


- Risk Follow-up Coordination: Coordinate follow-up actions related to identified risks. Ensure appropriate mitigation strategies are implemented and tracked.
