Job Title- Administrative Support Lead Coordinator

Location -Pune (Viman Nagar)


Responsibilities-

(1)Identify suitable hotel options based on budget, location, amenities and negotiate rates & other terms and condition

(2) Co-ordination with employees, clients or guests visiting Viman Nagar office and make their hotel, local transportation arrangements

(3) Co-ordination with vendors for documentation & vendor code creation in Datazen

(4) Making system purchase orders related to Admin

(5) Consolidation of monthly spent and cost bifurcation of GEC within BUs and send to Finance on monthly basis

(6) Manage office space allocation & stationery arrangements

(7) Conduct regular inspections of the office premises to identify maintenance needs which includes HVAC, Electrical, Plumping, Fire Safety Equipment, Furniture etc. and address them promptly

(8) Co-Ordination with Housekeeping staff for upkeep of the facility.

(9)Will single handedly manage the employee helpdesk (new joining formalities, issue of ID card, access card, stationery, seat allocation issue of keys, exist formalities, managing guests, hotel booking, cab booking, guest house booking, handling all facility vendors including security and housekeeping vendors, FAS, stationery, processing all vendor invoices, office rental invoices, submission of monthly provision to finance, procurement of items, disposal of unused assets, coordinating with building Management team, parking management, repair & maintenance work in office etc. Total employee headcount approx. 1000.
